We provide frames, trusses and an extensive range of building materials to Mudgee surrounds and beyond. We work closely with local builders, and individuals to provide a professional and efficient service which delivers a quality product and result.Position Summary:As Office Manager at Steel Frame Company Pty Ltd, you are the operational heartbeat of the businessresponsible for ensuring smooth day-to-day functions across administration, finance, logistics, and customer service. You oversee critical financial processes, support production planning, and act as a key contact point between clients, suppliers, and internal teams. Your role also includes assisting with quoting, technical take-offs, and updating project information across systems. While this is initially a 12-month contract, there is the possibility for ongoing employment after the contract period.Key Responsibilities:Financial & Accounts ManagementEnd-to-end management of company accounts usingXero, including accounts payable and receivable, bank reconciliation, payroll processing and employee entitlements.Cash flow monitoring and forecastingPrepare and managemonthly budgets, financial summaries, and job profitability reportsLiaise with the external accountant for BAS statements, PAYG and any other annual accounts and tax queriesProcurement & Stock ControlOrder stock materials (coil, steel, fixings, etc.) based on job requirementsProcess and trackspecial/custom ordersfor specific jobsMonitor stock levels and coordinate with production for upcoming workReconcile supplier invoices against purchase orders and delivery docketsQuoting & Take-Off SupportAssist the director withpreparation of quotesPerformroof take-offsusing tools such as Roof WizardGather and enter accurate information to ensure quotes reflect materials and labour needsMaintain clear documentation of quote revisions and job variationsCustomer Service & CommunicationFront-of-house duties: answering phones, greeting visitors, handling walk-insManage themain company email inboxrespond, forward, and escalate as neededMaintain professional and timely communication with clients and suppliersProvide regular updates on job progress, deliveries, and schedulingDelivery & Logistics CoordinationSchedule and coordinatedelivery of frames and trussesLiaise with workshop staff, drivers, and clients to ensure timely dispatch and drop-offArrange transport logistics including truck or crane bookings when requiredProject & Workflow ManagementUseTrellofor job tracking and workflow managementEnter and maintain accurate job information, updates, deadlines, and checklists in TrelloSupport internal communication between detailers, workshop, and installersGeneral Office AdministrationKeep accurate records and digital filing of all job documentationSupport director with admin tasks, business compliance, and reportingAssist with business development and implementation of systems and processesSkills & Attributes:Strong experience inoffice management, accounts, and adminPreferable knowledge ofXero, Trello, Microsoft Excel, and job management softwareAccurate and analytical with a good eye for detail (especially in financials and quoting)Excellent communication, time management, and multitasking skillsAbility to work both autonomously and collaboratively in a small teamThis is a12-month contract role with the opportunity to transition to an ongoing positionfor the right candidate.If this sounds like you, please send through your resume and cover letter to [email protected].
