As the owner is looking to step back from daily operations, were looking for a vibrant, capable Office Manager to help us run smoothly, keep the team supported, and drive improvements across the business.The Role: Why It MattersThis is a pivotal role. Youll be the backbone of our day to day operations, helping ensure everything from administration, bookkeeping, finance and IT support to people management runs seamlessly.Reporting directly to the Managing Director and working closely with our external accountants and advisors, youll play a central role in keeping the business organised, efficient and forward focused.Key ResponsibilitiesOffice Operations & AdministrationOversee daily administrative operations: reception, correspondence, phone calls, mail, document flowManage office supply inventory, equipment procurement and vendor relationshipsEnsure facilities, infrastructure and equipment remain functional, coordinate maintenance, repairs and service contractsMaintain organised and up to date filing and record systems (physical & digital)Develop, refine and enforce office policies, standard operating procedures and best practicesFinancial & Budget OversightManage accounts payable and accounts receivable, ensuring timely payments and collectionsOversee payroll processing, superannuation and employee entitlementsAssist with BAS, GST and other tax reporting requirementsReconcile accounts and prepare monthly financial reports for managementSupport budgeting and forecasting processesProcess invoices, expense claims, procurement approvals and vendor paymentsLiaise with external accountants, auditors and advisors to ensure compliance and accurate reportingPeople & HR SupportAssist with recruitment, onboarding, training and induction of new staffMaintain employee records, leave management, performance reviews and staff communicationsAct as a point of contact for internal employee queriesSupport safety, compliance and workplace policiesIT & Systems SupportProvide basic IT support for the team, including troubleshooting hardware, software and connectivity issuesManage office technology and liaise with external IT providers when neededMaintain and improve digital systems, ensuring staff are supported and processes run efficientlyCoordination, Scheduling & CommunicationsOrganise internal meetings, team events, travel arrangements and calendar coordinationServe as a liaison with clients, contractors, suppliers and visitorsCoordinate administrative projects, internal initiatives and continuous improvement tasksPrepare reports, presentations, summaries and ad hoc documentation for leadershipIdentify inefficiencies and propose solutions, streamline workflows, systems and processesLead, guide, and support staffFoster a positive office culture, teamwork, communication and high moraleWhat Were Looking ForMust-haves:Proven experience (25 years or more) in office management, administrative leadership or related roleStrong organisational, time management and multitasking skillsProficiency with Microsoft Office (Excel, Word, Outlook), and confidence troubleshooting IT/computer issuesExcellent written and verbal communication skillsExposure to budgeting, basic accounting and finance tasksAttention to detail, initiative, problem solving mindset and ability to work autonomouslyAbility to maintain confidentiality and sound judgementPrevious experience in a technical, engineering or manufacturing environmentHR / recruitment background or exposureKnowledge of safety, compliance and risk management processesWhat Youll GetCompetitive salary: $80,000 $100,000 p.a., depending on experienceA hands-on, diverse role with scope to make real impactDirect reporting line to the Managing Director with exposure to senior decision makingA supportive, friendly team environmentOpportunities for growth as the business expandsA workplace where your ideas, improvements and leadership will be valuedHow to ApplyIf youre ready to bring your organisational energy, dependable leadership and proactive spirit to Witley Engineering, wed love to hear from you.
