OverviewPublicis Groupe is looking for a Front of House Coordinator to join their busy but fun Experience Team in our Melbourne Office.ResponsibilitiesMeet & greet all external visitors with warmth and professionalismBuild relationships with regular visitorsManage the visitor sign in system and databaseEnsure that front of house always looks immaculate and invitingLiaise with employees to coordinate welcoming and escorting their visitorsSupport Experience Manager in creating an upbeat environmentMake staff feel recognised and welcome, from their first day and beyondContribute to the organisation and execution of eventsManage the security system - swipe card programming and visitor passesCollect and distribute mail or packages to staff on floor from receptionAnswer incoming calls for brands on the floor and direct phone traffic to appropriate staffCoordinate with couriers on deliveriesAssist with new starter setupAssist Experience Manager with travel bookings as requiredRespond to staff stationery and printer issues and keep stationery stocked (MEL/BNE)Log building issues for all agencies in the building as requiredSupport the rest of the Experience Team where requiredOccasionally assist agencies with urgent requests for pitch presentations or send outsCoordinating Events, Meetings/Meeting RoomsSupport your Experience Manager in the booking and coordination of all shared meeting rooms and car spacesMaintain room bookingsSupport Experience Manager with external visitor needs in meetings rooms (e.g. water, snacks, catering)Ensure the presentation of meeting rooms is at the highest standardEnsure all rooms are AV ready for meeting rooms & resolve any IT issuesStaff Amenities (Bathrooms And Kitchens) ManagementEnsure all drinks, breakfast items & cutlery/crockery are stocked well and always available (BNE/MEL)Provide feedback to your Experience Manager on non-consumable items that are neededKeep bathroom amenities stocked (not cleaning)Escalate maintenance or cleaning issues and arrange suitable solutionsWork with your Experience Manager to keep staff informed on any maintenance issuesHSE ResponsibilitiesIdentifying and resolving any building issues that do not meet HSE standardsSupporting sustainability measures in the office as requiredFacilitating required HSE inspectionsUndertaking Fire Warden training and being a contact pointSenior First Aider (training provided)Ensuring the first aid kit is accessible and stockedYour ExperienceExperience in a customer service-related role (e.g. reception, office assistant, hospitality, retail, airlines, hotels)Committed to diversity, equity and inclusion in the workplaceDesirable: Office/admin experience, intermediate Microsoft Office skills, event coordination, senior first aidAbout YouEngaging, personable with a positive and outgoing demeanourCommitted to sustainable workplace practicesInspired by providing exceptional serviceHigh standard of presentation, both personally and in your surroundingsGreat team worker who contributes enthusiastically to others projects and communicates openlyAble to adapt to each day being different and remain upbeat on fast-paced daysCan operate with little supervision and manage multiple tasks without becoming overwhelmedProactive and solutions-focused, able to anticipate issuesCalm under pressure, emotionally resilient, and able to work with senior stakeholdersFlexible occasional early starts/late finishesInterest in a creative, energised, dynamic working cultureAdditional InformationPublicis Groupe benefits: Be part of the Publicis Groupe family with a track record of Employer of Choice awards.
