Focus of this Position The role of Administration Assistant supports the St Philips Christian College Dynamic Learning team, with responsibility for a variety of day-today functions and tasks within the College. This position is the very first impression of the College. The main goal is to assist all those who make contact, either over the phone or facetoface with the College and show kindness and respect, grace and patience, be courteous, efficient and professional, be Christlike in everything that is said and done. General Responsibilities Greet all external parties visiting the College. Answer phone calls and direct calls to the most appropriate department/person or record messages and communicate the messages. Receive incoming email/mail/deliveries, review, date and distribute and prepare outgoing email/mail/deliveries for dispatch. Assist with printing, photocopying as required. Management of lost property. Maintain the general filing system and filing correspondence. Provide general clerical and word processing support. Assist with cross campus administrative tasks as required. Provide Executive & Administrative support to the Principal, Business Manager, Executive Assistant and the Head of Campus as needed. Liaise with external professionals for appointments and sharing of information. Attend staff meetings, devotions and staff prayer meetings as required. Prepare for meetings and assist with meeting room bookings. Manage WDOs (Young Parents). Support social worker/lead WA and HOC with bulk TASS entries. Record student absences, late arrivals and early departures in accordance with absence policy. Follow up phone calls for absences. Administer early release of students at the request of parents or guardians. Support with the preparation and dispatch of excursion/camp permission notes including tracking and following up where outstanding. Act as first aid officer and dispense medication in accordance as required including contacting parents/emergency services in the event of a medical incident. Ensure correct completion of incident report when required. Order stationary resources and bulk printing as required for the campus. Assist with preparation of correspondence as instructed. Management of assisted transport applications. Record data in the College student management system. Assist in school events such as campus events, parentteacher interviews, presentation days and graduation ceremonies. Assist with student reporting as required. Assist with curriculum and regulatory requirements as required. Triage students who need debriefing as they attend class and hand over to appropriate support staff. Manage/collect diagnosis paperwork and evidence from internal and external sources and forward it to the class teacher, L&WA and Head of Campus and place on TASS. Take minutes for parent/external services meetings when necessary. Upload minutes to relevant students TASS for NCCD evidence. Flag wellbeing concerns with social worker/HOC from enrolment paperwork (YP only). Attend enrolment interviews and wellbeing meetings as support person when required. Be familiar with and maintain the AVO/POI register and family court orders. Pray with and for staff. Pray with and for students. Actively participate in devotions and corporate prayer. Any other reasonable direction that is within the limits of your skills, competence, training and/or experience as given by your supervisor.
