Position VacantPermanent PositionCommencing 20 January 2026Parttime, Termtime, 2 days per week, Thursdays and Fridays, 7.45am 4.00pm. Position Summary The Student Services Officer is responsible for providing administrative services and general support for Primary School students. The role also actively serves as a contact and liaison for the broader School community including staff, students and parents to ensure smooth operations and effective communication for studentrelated matters across the School. Selection Criteria SC1 Demonstrated administrative and organisational skills: Ability to efficiently manage student records, schedules and general office operations while maintaining accuracy, confidentiality and attention to detail. SC2 Effective interpersonal and communication skills: Proven capacity to engage positively with students, parents and staff, providing clear, professional and responsive support to ensure smooth communication and resolution of studentrelated matters. Key Responsibilities Key responsibilities may be modified occasionally to ensure the expected outcomes are coordinated with the Schools Strategic Plan. The following list outlines the main duties: Administration and Support Duties Handle initial enquiries from members of the community, staff, students and/or parents to identify the correct person to handle the enquiry. Coordinate the Schools records in relation to student absences, including maintaining a list of students attending Primary sporting carnivals/events and afterschool activities. Generate accurate attendance rolls for evacuation and lockdown kits on a weekly basis. Support the School Nurse in maintaining Medical Action Plans. In collaboration with the School Nurse and the HR and Compliance Manager, review and update rolerelated policies and procedures. Support the School in administrative and support functions which may include Main Reception, Primary Reception and the Nurses station as required. Provide additional administrative support to the Heads of School where required, and deputise for the Administrative Assistants and Student Services Middle and Senior Schools in their absence. First Aid Support Support the School Nurse in maintaining the Nurse Station, including the provision of first aid and dispensing of panadol and other approved student medication. Regularly attend to, action and follow up on records within the Incident/Illness Register. Maintain medication records for students. Maintain appropriate levels of first aid supplies throughout the School. Ensure a clean, hygienic Nurse station and First Aid facilities within the School, including regular washing of linen and sanitising of equipment and surfaces. Education / Experience / Professional Qualifications Essential Previous experience in an administrative support role. First Aid, CPR, Emergency Response, Anaphylaxis and Asthma Certification (including Epipen and GlucaGen training and diabetes management). Desirable CertII in Business or equivalent experience Experience working in a School environment. Characteristics, Qualities and Skills Essential High level of skill with Microsoft Office Suite, Google Workspace and payroll software (e.g., TASS), with an aptitude for learning new systems. Strong attention to detail and accuracy. Proficient in managing competing priorities. Uses sound judgement and problemsolving skills to address student and family inquiries. Maintains a positive attitude in a fastpaced, multitasking environment. Demonstrates excellent organisational and timemanagement skills through a visible cando attitude. Willingness to step in and assist where needed. Capable of multitasking, prioritising workloads and working independently. Displays the ability to maintain and ensure confidentiality and sensitivity in the role, ensuring student data is handled with discretion. Adaptable to changing needs and tasks of the School. Collaborative with colleagues. Strong communication and interpersonal abilities necessary to communicate with students, staff, parents and other visitors. Recognises the importance of teamwork and effective communication amongst the immediate team in ways that are respectful and inclusive of others. Presented professionally, affably and diplomatically with a high level of grooming and deportment. Key Challenges The role requires responding to a steady flow of inquiries from students, staff, parents and the broader community. Handling these promptly and accurately, while directing individuals to the appropriate contact, demands strong communication and problemsolving skills. Responsibilities include attendance records, first aid support, policy review and administrative tasks, prioritising workloads effectively and shifting focus between tasks as needed. Managing various first aid responsibilities, from maintaining supplies to assisting the School Nurse with medical documentation and incident tracking. Staying organised and responding quickly in emergencies is vital. Physical Capabilities The role may involve moving between different locations, such as the nurse''s station, administrative offices and reception, requiring a moderate level of mobility. May be required to lift first aid supplies, sanitise equipment, wash linen, and occasionally move items. Prolonged standing or walking may be necessary during events such as sporting carnivals or evacuation drills. Workplace Health and Safety Take full responsibility for compliance with the Schools Workplace Health and Safety Policy, safe work procedures, instructions and rules. Identify unsafe behaviour or conditions and report these to the Principal. Adopt riskmanagement strategies to minimise risk of injury to people and property in the workplace. Cooperate with the Principal or other persons as necessary to ensure compliance with the Work Health and Safety Act 2011 and related regulations. Safeguarding Children and Young People As an employee, you are required to meet the behaviour standards outlined in the Staff Conduct Guidelines and Expectations Policy and maintain valid workingwithchildren documentation. Participate in child protection training and education as appropriate. Provide a welcoming and safe environment for children and young people. Promote the safety and wellbeing of children and young people to whom we provide services. Report any suspicions, concerns, allegations or disclosures of alleged abuse to management. Maintain valid working with children (Blue Card) documentation and undergo periodic national criminal history checks if requested. Immediate Supervisor Head of Primary School Key Relationships Effective working relationships with the Business Operations Team, Senior Leadership Team, Executive Team and the Principal. Internal and external liaison with all staff, students, parents and various other stakeholders such as external providers.
