Executive Assistant to CEO, Chairman and Committee The Melbourne Racing Club is one of Australias most dynamic sporting, events, and property development organisations. Alongside hosting worldclass racing at Caulfield, Sportsbet Sandown, and Mornington Racecourses, the Club also owns 15 hospitality and gaming venues under the Pegasus Leisure Group (PLG) across metropolitan Melbourne. Were now seeking an experienced Executive Assistant to join the Office of the CEO on a fulltime permanent basis. This is a diverse and handson role providing highlevel support to the CEO, Chairman, and Committee in a fastpaced and highprofile environment. As a trusted advisor and key point of contact, youll play a pivotal role in the most senior office of the Club, supporting strategic priorities, coordinating executive communications, and helping drive the delivery of outcomes aligned with the Clubs vision. What will your responsibilities be? Providing a high level of support and administrative assistance for the MRC Committee and Chairman, including the endtoend management of Committee functions. Managing calendar scheduling, meeting coordination, expenses, and travel and accommodation arrangements. Prepare briefings, presentations, agendas, correspondence, and meeting minutes, budgets, media commitments, ensuring all administrative tasks for the CEOs office are completed accurately and on time. Work as an effective liaison between Executive Management, commercial partners, industry bodies, Ministers of Parliament, members of the public and others in the CEOs network. Managing stakeholder expectations, following up on deliverables and triaging problems to support the timely delivery of Club KPIs. Keeping the CEO accountable to KPIs and ontrack in deliverables by ensuring time is allocated to the most important priorities. Overseeing and managing the endtoend planning and execution of Committee and race day events. Guiding the daytoday operations of the office and ensuring that the office environment is positive, and teams are cohesive. Skills & Experience Minimum of 5 years experience as an EA or Office Manager providing Executive support. Experience and confidence in managing small projects on behalf of the CEO. A strong interest in horse racing is required, ideally with established connections in the industry. Demonstrated experience with Microsoft Word, Excel, and Outlook. Proficiency with mail merges and diary management. Bachelors Degree in business administration, communications, or a related field desirable. Administrative and/or event, hospitality, or sporting experience preferred, as well as experience developing, managing, and executing events. Exceptional written, verbal, and interpersonal communication skills, with the ability to engage effectively and appropriately with diverse audiences. A collaborative team player who also thrives working independently and taking initiative. Demonstrates absolute professionalism and confidentiality in handling sensitive information.
