We are seeking a motivated and customer-focused Administration Officer to join the Office Accommodation team within Facilities Management Services. The successful applicant will assist with a range of office accommodation related activities including overseeing the mailroom function, day-today facilities issues such as coordination of issues and problems reported, access and ID card processes and general support to our departmental staff. About The Role In this role you will be responsible for managing the daytoday operations of the mailroom, including: Proactively manage the Mail Room service, take ownership for the accurate completion of work, perform duties in line with guidelines, procedures and compliance requirements and continually seek improvement in the way in which work is performed. Undertake general administrative duties and distributing mail and correspondence according to established procedures and contribute to improvement in business processes and practices. Provide efficient and timely support to the Office Accommodation team, ensure daily activities align with business operations, proactively assist others and operate effectively as a member of a team during busy periods. Responding to customer enquiries and providing advice. Resolving any daytoday operational issues that may arise. Other general administrative duties as required and directed by the supervisor including providing assistance to other teams within Facilities Management Services during busy periods. This role is somewhat physical in nature, requiring handling of parcels and moving within and between our CBD sites. What You Need To Succeed Effective communication and consultation skills to establish and maintain productive partnerships with customers, team members and other stakeholders. Someone with a passionate and enthusiastic demeanour, who is driven and motivated to achieve optimal customer service outcomes. Ability to work independently, prioritise, and remain composed during busy periods, taking responsibility to ensure situations are resolved within a timely manner.
