Clinical Operations Coordinator at Queensland X-Ray Location: Brisbane, Queensland, Australia Employment type: Fulltime (3 days per week in Administration and 2 days per week in clinical practice) Applications close Friday, 14th November 2025 About The Role The Clinical Operations Coordinator provides operational support to the clinical operations department, focusing on incident coordination, risk management, patient experience (clinical liaison), and compliance and governance. Key Responsibilities Provide clinical support within the clinical operations department to ensure safe, highquality, and patientcentred care. Coordinate and triage incident management within the clinical operations department. Maintain accurate and timely documentation of clinical and administrative activities in accordance with company and regulatory requirements. Support the implementation and monitoring of clinical policies, procedures and quality assurance systems in alignment with organisational standards and relevant legislation. Assist with clinical and technical compliance and accreditation activities, including maintaining evidence and supporting documentation for regulatory bodies including Radiation Health Queensland. Assist in conducting internal audits, policy reviews and quality improvement projects to enhance service delivery and patient outcomes. Contribute to the ongoing review and improvement of incident management and patient feedback processes. Incident Coordination and Risk Management Coordinate the reporting, investigation and resolution of clinical and nonclinical incidents, ensuring compliance with QXR and Sonic Radiology Australia frameworks and regulatory timelines. Assist in the facilitation of root cause analyses with the Clinical Operations Manager, CMO, CEO and COO. Support the analysis of incident trends, prepare reports and identify opportunities for improvement, including corrective and preventive actions. Promote a positive safety culture and encourage proactive risk identification and mitigation across all practice sites. Patient Experience Clinical Liaison Act as a key liaison for patient clinical feedback, complaints and compliments, ensuring timely, empathetic and professional responses. Coordinate the endtoend management of patient experience cases from initial contact to resolution and documentation together with the Patient Experience Coordinator and Clinical Operations Manager. Analyse clinical feedback data and provide insights to support quality improvement initiatives focused on patient experience. Collaborate with clinical and administrative teams to improve communication, service delivery and patient satisfaction. Promote a culture of compassion, respect, and open communication in all patient interactions. Compliance and Governance Assist with the maintenance of the clinical governance framework, including incident, risk and patient feedback reporting. Support documentation control processes and version management of policies, procedures and forms. Assist with the preparation of reports and presentations for committees, accreditation bodies and internal stakeholders. Maintain uptodate knowledge of relevant regulatory requirements, professional standards and organisational policies. Teamwork and Collaboration Work collaboratively with Clinical Operations and Modality Operations departments to deliver consistent and effective governance support. Participate in regular team meetings to discuss cases, share learnings and support continuous improvement. Provide feedback and contribute ideas to enhance operational efficiency and patient care delivery. Foster a positive and supportive team culture aligned with QXRs values and commitment to excellence. Qualifications, Experience and Attributes Tertiary qualification in Medical Imaging, Nursing or other relevant health discipline is desirable. Current AHPRA registration (if applicable). Minimum 3 years of experience in a clinical role within a healthcare setting. Demonstrated knowledge of incident management and patient feedback processes. Understanding of accreditation and compliance frameworks relevant to Medical Imaging. Strong communication and interpersonal skills with the ability to manage sensitive situations professionally. High attention to detail and sound administrative and data management skills. Ability to work both independently and collaboratively within a multidisciplinary team. Experience using QXRs incident management system RiskMan.
