Executive Assistant to Chairman (Bilingual Chinese/English) We are seeking a highly capable Executive Assistant to the Chairman to support the efficient operation of our gold mine management, project coordination, and communication activities. This role will serve as a critical bridge between the Chairman, senior management, engineering teams, contractors, and external stakeholders. About the Role The Executive Assistant will provide high-level administrative, coordination, and operational support to the Chairman, ensuring smooth communication and efficient progress across all departments involved in the gold mine redevelopment project. The role involves project tracking, document and file management, internal and external communication, contractor coordination, and daily support for the Chairman and senior leadership team. The ideal candidate is proactive, detail-oriented, bilingual in Chinese and English, familiar with mining communication environments (gold mining preferred), and able to work confidently in a dynamic minesite setting. Key Responsibilities 1. Executive & Project Coordination Track project progress and monitor key operational milestones for the Chairman. Prepare meeting briefs, summaries, and reports to support boardlevel decision-making. Organise meetings, prepare documentation, and facilitate communication between the Chairman, General Manager, and project teams. Follow up on meeting action items and ensure timely completion. Act as a key communication link between the Chairman, management teams, engineering teams, and contractors. Coordinate the flow of information to ensure clear priorities and timelines. Communicate with government bodies, regulatory agencies, technical consultants, and investors as required. 3. Administration & Document Management Manage the Chairmans calendar, appointments, and meeting schedule. Assist in preparing presentations, applications, contractor documents, and project reports. Maintain organised records for contracts, project progress, and documentation. Coordinate minesite visits for contractors, consultants, and guests. Communicate with management teams to gather project updates and prepare weekly reports for the Chairman. 4. External Relations & Meeting Support Assist in organising board site visits, stakeholder meetings, and regulatory inspections. Prepare agendas, minutes, and followup action lists. Support the preparation of investor relations documents when required. Required Qualifications (Minimum 5 Years Experience) Experience in mining (gold mining preferred), or in executive assistant, administration, or coordination roles. Excellent communication, organisational, and multitasking abilities. Strong professionalism, confidentiality, and accountability. Ability to manage work independently and communicate confidently with executives, engineers, contractors, and regulatory bodies. Strong writing skills and experience using administrative systems. Preferred Qualifications Experience in mining, construction, engineering, or heavy industry. Familiarity with WHS documentation, operational reporting, or project management processes. Ability to interpret technical materials and convert them into clear executive summaries. Experience supporting a board or senior executive team.
