The Role We are seeking an Executive Assistant to provide high-level support to our CEO and to strengthen the effectiveness of the broader leadership team. This role suits someone who thrives in ambiguity, moves quickly, has strong judgement, and is comfortable working across a wide breadth of responsibilities. No job is too big or too small. You will play a key role in ensuring the CEOs time, communication and strategic focus are protected. Executive Communications and Scheduling Manage the CEOs calendar, commitments and priority workflows Coordinate internal and external communications, drafting clear, concise messages and follow-ups Prepare the CEO for meetings with agendas, briefing notes and background information Build and maintain strong communication rhythms with staff, clients and partners Special Projects Management Support the CEO with cross-functional projects, research and operational initiatives Coordinate timelines, actions and deliverables across business units Assist with preparation for leadership reviews, strategy discussions and company-wide initiatives Drive ad hoc projects that require structure, discretion and a strong bias for action People and Culture Coordination Support onboarding activities and ensure new team members have what they need to succeed Maintain accurate team documentation, records and internal communications Help coordinate engagement activities, internal updates and cultural initiatives Contribute to building a cohesive, well-informed, highperforming environment Leadership Rhythms and Effectiveness Maintain leadership cadences, including weekly reviews, monthly priorities and quarterly planning Track actions, ensure followthrough and keep leadership aligned to operational rhythms Maintain documentation, templates and processes that support clarity and consistent execution Provide structure and support to strengthen leadership performance and reduce friction Operational and Administrative Support Manage expense reconciliation, credit card submissions and monthly tracking Oversee light office management, including supplies, workspace coordination and facilities needs Coordinate client and staff events, including logistics, catering, invites and ontheday execution Manage travel bookings, vendor coordination and general administration Key Capabilities Exceptional organisational and prioritisation skills Strong written communication and an ability to distil information clearly High discretion, confidentiality and emotional intelligence Strong judgement and ability to operate independently with minimal direction Comfortable working in ambiguity and shifting priorities Proactive, solutionsfocused and able to anticipate needs Teamoriented, grounded and calm under pressure Experience & Background Prior experience supporting a senior executive (ideally CEO or Founder) Experience in a highgrowth, technical or professional services environment beneficial Strong operational literacy and comfort working across multiple teams Proficiency in M365, Teams, Xero, Monday.com highly desirable Event coordination or office management experience advantageous Success Measures CEO operates with clarity, focus and minimal friction Leadership team maintains strong operating rhythms and reliable followthrough Internal communication improves in clarity and timeliness Projects, events and operational tasks run smoothly and on time Team onboarding, documentation and internal coordination remain consistent and dependable Why Join Gridware?
