The Opportunity Reporting to the Business Manager, Facilities Management, the Administrator provides highquality administrative and coordination support. You will manage the inbox and phones, set up jobs, raise POs, process invoices and timesheets, maintain accurate records in our work management system, and keep stakeholders updated. Your organised approach helps the team deliver safely, meeting service and operational delivery targets. Key Responsibilities Scheduling & job setup: coordinate scheduling and job creation in our work management system; maintain accurate job records and folders. Training & inductions: administer site access, including Standard 11''s, VOCs and medicals; book training; maintain the training matrix/HRMS and track expiries. Equipment compliance: maintain service/calibration schedules, certificates and asset registers to keep equipment compliant. Procurement & finance support: raise purchase orders, receipt deliveries, match invoices to POs, process timesheets, support AP/AR and monthend processes. Accommodation & logistics: book travel and accommodation as required; coordinate site access and inductions. Records & document control: keep registers and records accurate; apply naming/version control and retention rules. Reporting & claims: prepare weekly/monthly reports and claims, and support ad hoc reporting requirements. Stakeholder liaison: provide clear updates to supervisors and managers; raise risks, delays or variations early. What You''ll Bring High accuracy and attention to detail; confident with data entry and document control. Experience coordinating inductions and training administration, maintaining a training matrix/HRMS. 3+ years in administration, service coordination or office support (maintenance/facilities environment ideal). Proficiency with MS Office (Excel/Word/Outlook) and a work management system or similar. Experience with purchase orders, invoicing and basic AP/AR processes. Work scopes & documentation: able to assist with scope documents, quotes, quality documentation, claims and other contract administration. Procurement & ISOaligned systems: comfortable working within quality, safety and environmental management systems (ISO 9001/45001/14001); vendor onboarding, POs, receipting and invoice matching. Understands the job flow: how field inputs move through work orders, scheduling, completion/quality, claims and invoicing. Strong communication and customer service; able to manage competing priorities. Desirable: TAE40122 Certificate IV in Training and Assessment or willingness to obtain; Standard 11 & Coal Board Medical; open drivers licence and reliable vehicle.
