We are known for our commitment to safety, collaboration, and thoughtful service delivery that supports communities and essential services.Purpose of the RoleBGIS is pleased to introduce a newly created Maintenance Scheduler role supporting a recently awarded Victorian Government services portfolio. This position plays a central role in coordinating planned, reactive, and statutory maintenance activities across a diverse, state-wide property portfolio.Reporting to the Operations team, you will work closely with Facilities Managers, technicians, and subcontractors to ensure maintenance activities are scheduled efficiently, delivered on time, and aligned with safety and compliance requirements.The ideal candidate is organised, calm under pressure, and enjoys creating structure and clarity in busy operational environments.Key ResponsibilitiesPlan, schedule, and issue planned, reactive, and statutory maintenance work orders using BGIS ConnectPrioritise maintenance activities based on risk, compliance, asset criticality, and contractual timeframesCoordinate technicians and subcontractors to support efficient resourcing and route planningMaintain forward maintenance schedules to support continuity of service deliveryEscalate overdue or high-risk work orders and support timely resolutionMaintain accurate scheduling data, asset details, and completion recordsUse dashboards and digital insights to improve workflow efficiency and identify trendsLiaise with internal teams and contractors to communicate schedule changes, site access, and requirementsSupport compliance reporting, audits, and KPI tracking through clear and reliable dataEducation, Experience & SkillsEssentialExperience in maintenance scheduling, facilities coordination, or service dispatch rolesStrong organisational skills with the ability to manage high volumes of work ordersClear and confident communication skills, with a collaborative working styleHigh proficiency in digital systems and FM / CMMS platformsUnderstanding of compliance, statutory maintenance, and service delivery timeframesDesirableExperience using BGIS Connect or similar FM/CMMS systemsKnowledge of building systems, trades, and maintenance workflowsExperience supporting large or multi-site property portfoliosWorkplace FlexibilityThis role is based in our Melbourne CBD office, close to public transport, with a hybrid working arrangement (3 days office / 2 days WFH) after probation / training.
