Your actual pay will be based on your skills and experience talk with your recruiter to learn more.Base pay rangeA$75,000.00/yr - A$90,000.00/yrWhat if your knack for getting the details right was the glue that keeps people, equipment, and operations moving?Keep people and equipment ready. Keep operations moving.EnServe (part of EDLA Group) operates in a fast-paced, operationally driven environment where people and equipment need to be mobilised efficiently, compliantly, and without friction. Supporting multiple projects, clients, and locations means the detail matters and the systems behind it matter even more. We''re looking for an Administration Coordinator (People & Equipment) who can own the rhythm of our back office, support our People & Equipment Manager and work closely with operations, HSE, and project teams. You''ll play a central role in coordinating workforce readiness, equipment compliance, and mobilisation logistics - ensuring the right people and assets are in the right place, fully site-ready.This is not a passive admin role. You''ll be trusted to manage records, track expiries, coordinate travel and transport, and help bring structure to systems that underpin real-world operations. If you like detail, thrive on coordination, and get satisfaction from keeping complex moving parts under control, you''ll feel right at home. Why this might be your kind of opportunity:Where this role fits: EnServe is scaling fast - and behind every successful deployment is a web of logistics, records, and prep that makes it possible. This role sits right in that engine room: coordinating personnel and equipment records, smoothing mobilisations, and making sure ops and HSE teams can focus on delivery, not chasing paperwork.Your day-to-day: You''ll keep critical records tidy, current, and visible licences, certifications, medicals, inductions, equipment history, inspection logs, and more. The kind of detail most people miss? You''ll already be on it, with the next step prepped. You''ll coordinate flights and logistics, spot gaps early, and ensure teams are siteready and safe.Build better systems as you go: This role isn''t just about keeping the wheels turning it''s about greasing the gears. You''ll help standardise documentation, improve how registers are used, and support smoother workflows between sites, systems, and teams. If you like making things more usable, automated, compliant, and easier to scale there''s plenty to sink your teeth into.Embedded in ops, across the board: You''ll work closely with the People & Equipment Manager and coordinate across HSE, field teams, and project leads. You''ll be a familiar, trusted name in people''s inboxes known for being clear, organised, and responsive, with just the right mix of rigour and calm.Bring your potential or your polish: Whether you''re early in your career and eager to build capability in operations, systems and compliance or you''re a seasoned ops support pro looking to apply your skills in a hands on, flexible environment this role offers real scope. EnServe''s growing fast, and roles like this often grow with it. Salary to be discussed in line with your experience.Practical flexibility: Part-time (approx. 20 hrs/week across 45 days) or Full-time. This role is best suited to someone who can provide coverage across the week ideally in shorter daily shifts but we''re open to discussing what works. Whether full-time or a flexible schedule, what matters most is accuracy, consistency, and ownership. What''s involved:You''ll help keep EnServe''s people moving safely, smoothly, and always jobready. From licences to logistics and travel management to leadership support, you''ll manage the detail behind every deployment. That means tracking competencies, certifications, and documentation with total accuracy, flagging gaps before they cause issues, and making sure records stay clean and current. You''ll also support the mobilisation of personnel across projects, coordinating flights, accommodation, and transport with minimal fuss and maximum clarity.(30%): Equipment & Asset CoordinationYou''ll be the calm eye in the gear storm keeping eyes on every asset, register, and checklist. You''ll help track the whereabouts, compliance, and readiness of EnServe''s equipment: updating registers, logging service histories, and maintaining documentation that meets both site and client requirements. When it''s time to move, you''ll support the team in mobilisation and demobilisation, behind the scenes coordinating and logistics.(30%): Compliance, Systems & Ops SupportYou''ll be the quiet force making systems sing and compliance effortless. Your job is to make sure every record is accessible, every register up to date, and every auditready folder in place. You''ll support internal teams with smart systems, structured processes, and wellorganised tools that reduce double-handling and boost visibility. From helping roll out new systems to escalating missing info or expiries before they slip through, you''re the go-to for keeping things tight, tidy, and fully compliant. The kind of person who''ll thrive here:Steady hands, tidy systems: You''ve been the person who spots when something''s about to expire, fall through the cracks, or get lost in the inbox. Whether you were managing team records, fielding compliance admin, or wrangling shifting logistics, you kept the plates spinning and the systems humming. Rescued that missing certificate from the inbox abyss? Tick. Admin hum running without a fuss? That''s your zone. A colourcoded compliance tracker? Might just set your heart on fire.Organisation nous: You''ve rebuilt clunky registers, designed smarter templates, and turned chaotic checklists into crisp, clean workflows. You think in flows, not fragments seeing how small tweaks unlock bigger gains across the team. You get a quiet thrill from turning chaos into clarity the kind that makes a process easier for the next person too.Team operator with social fluency: You''ve worked with bootsontheground teams, project leads, office staff and everyone in between knowing when to nudge, when to follow up, and how to get the info you need without sending five emails. You keep things human, and you make things happen.Ops settings are your thing: You''ve worked somewhere with moving parts maybe a depot, construction site, busy ops team, or complianceheavy business. You know the rhythm: priorities shift, plans change, and people rely on you to keep the backend neat, ready, and realtime. You''ve showed up like an owner: You didn''t need a checklist to spot what was missing. You know what it''s like to scan ahead, clean things up and preempt issues, ensuring nothing falls through the cracks. You didn''t just do the job you''ve held the detail, and you did it properly. You''ve got the toolkit and the flex: Maybe you''ve supported HR, fleet, logistics, compliance or safety teams. Maybe you''re earlier in your career and keen to grow. Or maybe you''ve done this kind of work before and want a role that values your experience, gives you flexibility, and still challenges you in the best ways. Either way, you''ve shown you can be trusted with the detail. How to apply:Please apply via EDLA Group (www.edlagroup.com/jobs). Applications will be reviewed on a rolling basis. When you apply, include:Your CV outlining your qualifications, transferrable skills and aligned experience.A brief cover letter (max 2 pages) that covers:How you meet the key criteria outlined in this listing.Tell us about a time you brought order to a messy system or process maybe coordinating records across multiple sites, setting up a new register, or streamlining compliance admin. What was the situation, what actions did you take, what changed as a result, and what did you learn? This is your chance to show us not just what you''ve done, but how you think and operate.Referrals increase your chances of interviewing at EnServe (Energy & Infrastructure) by 2x.#J-18808-Ljbffr
