Our offerings are shaped by industry needs, delivering the critical skills that keep our infrastructure strong and our industries safe.Role DescriptionThe Administrative Officer will provide professional, highlevel administrative and client services to support the operations of the ESI department. They work closely with the Education Manager as a key support person and point of contact for daytoday administration, including managing the centralised Electrical inbox, coordinating calendar scheduling and invites, data entry and providing assistance to apprentices and staff. This role also supports Victorian Electricity Supply Industry (VESI) programmes through effective administrative processes and systems, ensuring compliance, operational efficiency and exceptional service delivery.Key ResponsibilitiesProvide frontline administrative, reception and information support as the first point of contact for the ESI department, including assisting current and prospective students with detailed knowledge of courses and programmes.Deliver timely and professional service to clients and stakeholders, ensuring information is accurately communicated in line with contractual and operational requirements.Use institute student and information management systems to support a wide range of administrative tasks, including admissions, enrolment eligibility, registrations, transfers, changes of details, refunds, cancellations, data entry, results processing, certificates, teaching resources, assessment applications, assignment handling and coordination of Apprentice Central enrolments.Maintain and communicate timetables and scheduling information, including advising students of changes and preparing examination timetables and schedules using institute timetabling systems.Assist the Head of Department with report preparation and support both internal and external audit requirements to ensure compliance with legislative, regulatory and institute standards.To Be SuccessfulDiploma of Business Administration or similar tertiary qualification in business, administration or a related field, and relevant work experience preferably in the education sector.Organisational and office administration skills, with the ability to manage multiple priorities and work effectively with limited supervision.Client relationship management and student administration, including enrolments, data entry and compliance reporting, preferably in the education sector.Work independently and proactively, while also collaborating flexibly and effectively within a team environment.ICT skills: competence in using MS Office, internetbased applications and database management systems, with knowledge of student administration systems.WWCC and Police Check: appointment to this position is dependent on obtaining a Victorian ''employee'' Working with Children Check and a valid Police Check within the last 12 months.Our Commitment To YouAt Holmesglen Institute, we are committed to fostering a safe, supportive and flexible workplace where our employees can thrive both personally and professionally.
