In order to be successful in this role, you must have highly effective interpersonal skills, strong written and verbal communication skills and the proven ability to act with discretion and deal with confidential communications. You''ll also be required to work independently as well as collaborate with all members of the CALI team where needed.The role is based in Sydney. Regional and interstate travel may sometimes be required.This is a parental leave, fixed term employment contract.Knowledge, experience and skills requiredA high level of computer literacy, including ability to work with Excel spreadsheetsA deep understanding of logistics, diary and event managementA high level of attention to detailVery strong organisational and governance skillsA solid understanding of effective operations and record managementThe ability to prioritise tasks and effectively and efficiently manage time for yourself and the executives the role supportsDiscretion and professional judgementKnowledge and ability to leverage AI capabilities is highly advantageous.Key areas of responsibilityStrategy deliveryMaintain quarterly scorecard and quarterly business plansSupport effective project management and planningBusiness optimisationIdentify opportunities for AI business processes and implement solutionsUplift record keeping, SharePoint management and team intranetMaintain SharePoint libraries and CALI record keepingGovernance, finance and operationsWork with the CEO and Company Secretary on Board program and scheduling, meeting logistics, collation of papers and other supportAdministrative engagement with CALI''s finance management function and HR functionHR processes including recruitment, onboarding and offboarding employeesOffice management, including liaising and collaborating on shared office management, meeting room bookings, and use of common areasManagement of members'' access to the CALI Portal and Outlook distribution listsExecutive administration and supportDiary management, inbox management, travel arrangements for leadership teamCEO task list managementManaging and maintaining records of external correspondence to CALI, including managing the general CALI inbox and preparing responses for review by the CEO and General ManagersProof reading policy submissions, CALI communications, and document formatting using CALI collateral and brandExternal engagement and eventsEngaging with external stakeholders at executive level, and maintaining strong relationships with CALI member executive assistants, parliamentary diary managers and regulator executive assistantsCoordination of logistics of events for members and member CEOsCoordinate and manage internal and external eventsAbout CALIWe support Australians to make informed choices about their future and help them live in a healthy, confident and secure way over their lifetime.Our members'' products and services give people peace of mind when making important decisions and provide a financial safety net during life''s biggest challenges.We advocate for national policy settings that expand Australians'' access to the life insurance protection that suits them when they need it most.CALI represents all life insurers and reinsurers in Australia.
