We are looking for an Administrative Team Lead for a 12-month FTC to provide high-level administrative support and oversee a pooled team of administrative professionals to ensure seamless operations in a fast-paced, dynamic environment.This role requires exceptional organizational skills, discretion, and the ability to manage sensitive and confidential information. The Administrative Team Lead exercises independent judgment and decision-making while optimizing resource allocation across multiple leaders and priorities. The position demands initiative, adaptability, and the capability to anticipate needs, prioritize competing demands, and deliver results with professionalism and accuracy.This role reports to the Senior Vice President, Global Research Executive.Your ResponsibilitiesAdministrative SupportCoordinate domestic and international travel arrangementsSchedule meetings and manage calendars across multiple time zones, including last-minute changesPrepare and submit complex expense reportsDraft and format letters, contracts, and other documentsManage vendor invoicing and post goods receipts in SAPOrganize meetings, reserve meeting rooms and arrange catering when needed.Manage inbound and outbound mail and maintain office suppliesKeep professional memberships and subscriptions currentArrange facilities, catering, invitations, and travel for internal and external participants. Monitor and control event budgetsGreet visitors, manage access, and ensure appropriate arrangements.Executive SupportOptimize executives'' time by anticipating needs and preparing daily schedules. Schedule appointments independently with clear understanding of priorities. Coordinate and communicate department updates and meetings on behalf of leadership, including preparing agendas and materialsTeam & Resource Management (as required)Lead and manage a pooled administrative resource model, ensuring equitable workload distribution and efficient support across multiple leadersAssign tasks and monitor performance of administrative assistantsProvide coaching, training, and development opportunities for team membersImplement process improvements to enhance team efficiency and collaboration.Information ManagementOrganize, prioritize, and summarize incoming materials and special requests.Track and follow up on project status with management staffReview documents for accuracy, format, and compliance with procedures before approval and releasePrepare special reports and respond to inquiries by gathering relevant information from multiple sourcesYour Skills & ExperienceHigh School Diploma or equivalent vocational or technical training. Bachelor''s degree or Technical College degree a plusExperience 5+ years'' administrative support experience preferably in within pharmaceutical industryAdvanced skills in Microsoft Office Suite, Adobe Acrobat, and enterprise systems such as Ariba, SAP, and ConcurDemonstrated ability to maintain confidentiality and exercise discretion in all aspects of workWillingness to adjust working hours to accommodate multiple time zones when necessarySkilled in providing efficient, high-quality assistance to senior leadersProactive, dependable, and responsible for delivering results independentlyExceptional verbal and written communication skills with the ability to convey information clearly and succinctlyStrong ability to anticipate challenges and proactively manage priorities for senior executivesDemonstrated strength in critical thinking, time management, and organizational skillsSkilled at balancing and prioritizing multiple high-impact tasks simultaneouslyProven ability to provide clear direction, oversee team performance, and support staff developmentExperienced in managing workload distribution, setting expectations, and ensuring consistent delivery of high-quality outcomesClosing date for Applications Monday 2nd February 2026Melbourne CBDHybrid workingAbout CSL BehringCSL Behring is a global biotherapeutics leader driven by our promise to save lives.
