About the role The NSW Sales and Administration Coordinator plays a pivotal role in driving sales growth from products in our showroom and website while ensuring smooth operations across customer service and administrative functions. This position combines strong product knowledge, customer engagement, and sales pipeline management with essential administrative support. The ideal candidate will be a proactive, resultsdriven professional who thrives on converting enquiries into sales and delivering exceptional customer experiences and maintaining the office environment. What you will be doing; Develop and maintain a high level of Freedom Solutions Australia Product knowledge to support customer enquiries and drive product sales. Conduct engaging showroom demonstrations for prospective and existing customers. Process retail transactions through Point of Sale systems. Support the sales pipeline, including managing trials, preparing quotes, and following up with prospects. Collaborate with the wider FSA executive and broader Product Specialist / Sales team to achieve monthly and quarterly sales targets. Monitor and report on lead conversion rates, pipeline progress, and customer feedback. Customer Service Enquiry Management Support phone, mail, email, social media, walk in and web enquiries. Ensure Leads contain required information, and next steps. Provide clear initial guidance about Freedom Wheels, Unique Solutions, and related offerings. Workflow Allocation Follow up on missing lead details to reduce delays later in the pathway. Allocate Leads accurately based on geography, service type, and availability. Maintain oversight of open Leads; alert leadership to bottlenecks or risks. Maintain clarity of handovers through consistent notes and documentation. Information Quality and Systems Support Maintain accurate Salesforce records and naming conventions. Support accurate data capture, tagging, and categorisation for reporting. Work with the team to refine templates, checklists, and SOPs. Communication and Customer Experience Maintain professional, timely contact with families, referrers, and clinicians. Ensure clear communication is maintained up to the point where Product Specialists take responsibility. Contribute insights that improve the customer journey. Showroom Experience Coordinate and maintain the showroom, ensuring a welcoming and professional environment for visitors. Organisational Administration Distribute incoming and outgoing mail and deliveries efficiently. Manage company vehicles, including scheduling maintenance and registration compliance. Oversee building management tasks such as cleaning schedules, maintenance coordination, and grocery supplies, as well as WHS requirements. Collaboration and Coordination Work across Production, Sales and Solutions Support Teams, and partners to ensure coordinated project outcomes. Provide regular updates (customer / sales) to the CEO and Leadership Team. Participate in planning discussions with the broader team; identify new project opportunities that improve operations and sales. Identify inefficiencies across customer management and service delivery and propose improvements. Ensure workflow aligns with compliance requirements and organisational values. Quality, Health, and Safety Follow quality assurance and Work Health Safety practices. Support and maintain internal systems that improve safety, quality, and compliance. What we''re looking for in your Qualifications and experience Proven experience in sales coordination, customer service / administration, or similar roles. Strong organisational skills, with the ability to manage multiple projects and competing priorities. High level of written and verbal communication skills, including experience working with crossfunctional teams. Proven capacity to exercise initiative, problemsolving, and sound judgement under little general direction. Ability to work independently and as part of a team. Proficiency with business systems (e.g. Salesforce or other CRMs, project management tools, Microsoft Office/365). Current Working With Children Check (WWCC) or willing to obtain. Current NDIS Worker Screening Check (NDISWSC) or willing to obtain. Relevant tertiary qualifications in community services, business, project management, or a related field. Understanding of NDIS, ISO Quality Standards, or compliance frameworks relevant to disability and community organisations. First Aid & CPR. Personal Attributes Able to work independently.
