He needs someone highly organised, proactive, and autonomous to anticipate needs, manage the details, and keep everything moving smoothly.As a fully online business running across multiple IT platforms, we need someone techsavvy who can quickly learn new systems and adapt to change.For the right person, this is an absolute dream opportunity to learn, grow, and shape your career in a fastgrowing business.What You''ll Be Doing1) Executive Support (about 20% of the role)Manage the CEO''s calendar, inbox, and schedulingPrepare meeting agendas, notes, and followup actionsCoordinate travel and logisticsKeep the CEO focused on highvalue workSupport new projects, sales activity, and priority initiatives as they arise2) Operations & Delivery Support (about 45% of the role) Most of our content and coaching is delivered online, and this role owns a large part of the operational engine behind it.Plan and manage the annual coaching and event calendarMaintain internal workflows and operational systemsOwn and optimise the Circle community platform (events, links, resources, structure, accuracy)Manage all program materials created by the CEO ensuring they''re submitted, tracked, and delivered on timeUpload and organise program materials inside CircleEnsure weekly coaching calls and live events are fully prepared, including tech setup, coaches'' availability, resources, links, and run sheetsSupport live coaching calls as the backend cohost (breakout rooms, chat monitoring, support tasks, links, and call management). Coaching calls are mostly in the afternoons once or twice a week from 4:005:30 pm.Hold coaches accountable for training, availability, preparation, and session readinessSupport rollout of new systems, delivery upgrades, and operational improvementsKeep the team aligned around deadlines, workflows, and upcoming work3) Event Coordination (about 25% of the role) We run multiple events across Australia each year, ranging from smaller member experiences (Golf Day in Sydney for 30 members) to one larger flagship event (50 plus delegates).Book venues, catering, and suppliersBuild run sheets, checklists, and logistics plansManage registrations, attendee communication, and event administrationOversee tech setup and smooth execution on the dayCoordinate bumpin and bumpoutCollect event feedback for continuous improvement4) Digital & Tech Administration (about 5% of the role)Troubleshoot tech issues quicklyMaintain SOPs, digital filing, and internal documentationLearn and implement new systems efficiently5) Internal Communication & Team Cadence (about 5% of the role)Coordinate internal meetings, agendas, and action trackingAssist with recruitment admin and contractor onboardingMaintain clear internal communicationEnsure the team is prepared for upcoming sessions, events, and deliverablesYou''ll Succeed in This Role If You...Have 3+ years'' experience in an admin, operations, or EAstyle role (online/coaching environments highly regarded)Are a selfstarter who thrives in fastpaced, techheavy environmentsAre highly selfmotivated, you don''t wait for instructions; you figure things out.
