Job Description

Responsibility for providing support to the Finance team and supporting schools with their planning, management and reporting of capital works projects.Core ResponsibilitiesProperty Operations SupportProvide guidance and assist schools with the management of all properties that are either leased, licensed or owned by Mercy Education.Work with Principals and other senior leaders in Mercy schools to ensure they are supported in the development and maintenance of the Capital Planning process including:Development and oversight of the College MasterplanPreparation of project approvals for submission to the Mercy Education Board and McAuley Property LimitedActive participation at Project Control Group (PCG) meetings throughout constructionOversight and consultation re: College maintenance and minor refurbishmentsResponsibility for providing support to the Finance team and supporting schools with their planning, management and reporting of capital works projects.Oversee all major tender contracts as appropriate and liaise with legal to ensure appropriate building and consulting contracts are executed as appropriate.Prepare regular updates for the National Office, Mercy Education Finance Committee and McAuley Property Limited on progress of capital projects.Develop and maintain the Mercy Education Capital Works Procedure Manual.Maintain the Mercy Education National Office property database, including bank guarantees.Key liaison between Mercy and the landlords agent for all facility related requirements at the Mercy Education National Office (MENO) including management of security passes, car parking, maintenance requirements, etc.Manage all records according to relevant legislation and Mercy policy related to capital works and property.Insurance oversight.Other ad hoc property related requirements.Property Risk and ComplianceOversee the Essential Safety Measures (ESM) compliance process and work with the schools to meet obligations.Prepare Annual ESM Compliance report and Committee/Board reporting for Mercy.Organise ESM and Risk Training for Property Managers as required.Review active risk management measures related to property and assist schools in improving risk management in this area.Oversee annual school property compliance register audit (if required).Policy development related to property and compliance.Finance SupportKey liaison between Mercy and banking provider (currently CBA) for all administrative tasks relating to Commbiz and Cardmanager.Administration of Woolworths cards.Assist with financial forecasting, budgeting, and variance analysis.Assist with annual audit requirements and account reconciliations for MENO.Monitor MENO expenditures to ensure alignment with approved budgets.Preparation of monthly Business Activity Statements for MENO.Provide back up support for MENO Payroll and Accounts Payable.Co-ordination of annual Workcover requirements.Management and reconciliation of the WA schools Long Service Leave requirements.Other support as required.Skills &QualificationsBe able to demonstrate a commitment to the mission, vision and values of Mercy Education and the ministerial works of the Mercy Ministry Companions.Related tertiary qualifications.Understanding of accounting principles.Demonstrated experience in capital works facilitation, including overseeing the project tender process and capital projects reporting, preferably in a building or construction setting.A thorough understanding of the relevant Occupational Health and Safety Act / Work Health and Safety Act building codes and best practice as per State legislation.Excellent verbal and written communication skills, including dealing with difficult conversations effectively.Ability to work without close supervision and to act independently, representing Mercy Education where appropriate.Personal qualities would include being an effective team player, of a confidential nature, organised and methodical.Other Relevant InformationAll employees are required to adhere to Mercy Education policies and procedures as varied from time to time.This role will require a Working with Children Check and a National Police Records Check.This role will require occasional travel to Mercy Education schools.Under Victorian Workcover legislation, it is the applicants duty to advise Mercy Education of any pre-existing medical conditions which could be aggravated by the type of role for which they are applying.Application RequirementsTo apply for the position, please submit the following items:A covering letter that includes your response to the key selection criteria (max 2 pages)Applications close at 5:00pm Friday 13 February 2026.Mercy Education is committed to ensuring the safety, wellbeing, and dignity of all young people.The existence of the Mercy Education Limited gives strength, support and solidarity to each of the member Mercy schools - staff, students, College Councils and parents as the work of Mercy Education continues into the future. #J-18808-Ljbffr
