The ideal candidate will be hospitality-focused, showcase a contagiously positive attitude and exceptional communication skills, and have the ability to support clients, guests, and employees in the Office.Essential Job Duties:Office OperationsManage front desk by providing building access (when required) and notifying the employees that client, vendor or job candidate has arrivedCoordinate catering, conference room space, invitations, and other event planning activities as neededMust have the ability to understand and explain AV technology as it applies to each individual requirement and complete AV checks of all conference rooms each day ensuring everything is functional and ready for useSupport, organize, and/or assist with internal meetings and events as requiredAnswer and screen all incoming calls and relay messages for 2 officesCommunicate general company informationCommunicate with operations staff, fee-earners, and Market LeaderHandle calls with discretion per the request of the operations staff, fee-earners, and Managing PrincipalOffice Administration / Vendor ManagementManage purchasing and maintenance of office supplies and office equipment (i.e., furniture, IT equipment, telephones, snack services, plants, etc.) by ordering through Workday, procurement, or outside vendorEnter all new local vendors into Workday and cleanse data, if requiredSupport mail room operations (i.e., picks and sorts mail daily, postage machine, fax and copy machines, manages incoming and outgoing FedEx shipments)Work with Operations Manager on business continuity issuesAssistance with onboarding new employeesOrder business cardsDocument preparation (review, print, bind)Support the operations team with office technology implementations, upgrades, support, facilities, telecommunications, emergency preparedness and business continuity planningOther duties as assignedRole will be evaluated on the following:Management of costs to budget, keeping variances to a minimumPositive attitudeProfessionalismEfficiency and dependabilityOrganizationCustomer service and people skillsTimeliness and responsiveness to requests and conflict resolutionBACKGROUND AND EXPERIENCEDemonstrated experience should include:HS Diploma or GED required, college degree preferredVery good written and oral communication skillsA minimum of 1 year of front desk, concierge, customer service or other hospitality experience is preferredCompetenciesAbility to follow instructions and proceduresAbility to deal and communicate effectively with all levels of staff and managementWarm and engaging demeanor.
