The role We are seeking an experienced, competent and organised Corporate and Member Services Manager to lead and take responsibility for the administration of our key operations. As well as ensuring the reliable running of our office, this position will be the primary point of contact and service to our diverse member base, manage our corporate services (including bookkeeping, meeting management, event planning and stakeholder communications) and provide direct support to the executive management team when required. This is not a junior role. The successful applicant will demonstrate significant experience, intellect and initiative. They will need to be hands-on with a flexible, can do attitude. We are a small, genuinely caring team but frankly, do not have the capacity to manage unnecessary drama or incompetence. Key responsibilities Financial: Responsible for financial administration including accounts payable and receivable, contract management, bank and credit card reconciliations, preparing budgets and reports. Administration: Provide high-level administrative support, including calendar management, liaising with external contractors such as IT and caterers, undertake ad-hoc research, and support coordinating travel arrangements. Operations: Manage the day-to-day operations of the office, including facilities, tenants, records, resources, and supporting internal procedures. Communications: Act as the primary point of contact for Members, manage internal and external communications including updating the website and other media channels, draft correspondence, presentations, and reports. Membership services: Maintain and update the membership CRM platform including processing new and existing membership renewals Stakeholder management: Build and manage efficient relationships with internal and external stakeholders, including members, executive managers, committees, board members, government officials and key partners. Events and meetings: Plan and coordinate events, including booking venues, AV and Expo equipment, accommodation, travel, invitations, speaker/dignitary liaison, ticketing, schedule meetings, prepare agendas and take minutes. Information Management: Manage, file and organise confidential information and records with integrity, ensuring compliance with all policies. What we are looking for / Selection criteria Proven, substantial experience in all the above. Exceptional organisational skills with the ability to anticipate needs and proactively manage competing priorities. Aptitude for technology with demonstrated proficiency in Xero, Microsoft Office and preferably, WordPress software. Alternative accounting software proficiency will be considered Outstanding written and verbal communication skills, with a professional and confident demeanour when dealing with a wide variety of stakeholders. Strong reliability, initiative, discretion and emotional intelligence. A proactive, adaptable, and cooperative approach with awareness of the dynamics of working as part of a small team.
