MelbourneInvestment BankingContract or TemporaryLeading global investment bank is seeking a Team Assistant to support one of their investment banking teams in Melbourne. The role will be based in their CBD office 5 days a week. The role is an initially 12-month contract with a very good chance of going permanent for strong performers.Candidates will have some prior experience working in an Office Administration, PA or Team Assistant role within another leading bank, fund manager, private equity or similar professional services firm.ResponsibilitiesThe duties of the role include:Calendar management, including coordinating client and internal meetings, calls, Zoom meetings (including across time-zones and global offices)Maintain team calendars including client meetings and contact information in SalesforceAnswering phone calls and emails, relaying information in a timely and accurate mannerTravel book flights and accommodation for team, including knowledge and awareness of banker and relevant client activities and travel policy guidelinesProcessing expense reports for bankers (Concur) within strict deadlinesClient entertainment organise ad hoc client lunches and dinners; work with Events team and bankers to invite clients to eventsCoordinating room bookings for client meetings and lunches and liaising with catering manager when requiredTaking on ad hoc tasks while maintaining workflowSupporting bankers with day to day issues, needs and queriesProviding coverage for EA colleagues during breaks and holidaysActively foster a cohesive work environment within the EA team in the A/NZ region (Sydney, Melbourne, Perth, Auckland)Hours of WorkMonday to Friday 9:00am to 5:30pm (1 hour lunch break)Flexibility outside these hours is essential.Qualifications / Experience RequiredMust be able to work proactively in a fast-paced and demanding environment and have the ability to prioritise to multi-task and manage a busy workloadHighly organised with strong attention to detail and an ability to manage multiple tasks and deliver quality resultsDisplay a consistent, professional degree of communication skills in person, on phone, via Zoom and by email at various levelsExcellent Microsoft Outlook skills, including fast and accurate keyboard skillsEnjoy working with various technology systems (eg expenses, travel, in-house systems training provided)Exhibit highest standards of professionalism and maturity and the ability to bring ideas and experience to tasksProactive, punctual, reliable and a team player together with a willingness to help other members of the EA team, and works well under pressure within a changing environmentComfortable working with people at all organizational levels, internally and externallyFlexible and adaptable to work and support across multiple teamsBe resourceful and able to use own initiative in solving issuesThe ability to maintain confidentiality and discretion at all timesFriendly, polite and approachable with a can-do attitude with a willingness to help other members of the EA teamNo Working Holiday Visa applicants will be considered as a temp to permanent role. #J-18808-Ljbffr
