We value and respect our team, recognising that their contributions are essential to the success and continued growth of our practice.About the roleThis is an exciting opportunity for a senior-level medical administrator who enjoys variety, ownership, and meaningful patient interaction.You will be the first point of contact for patients and their families, so professionalism, warmth, and a calm presence are essential. You''ll also play a vital behind-the-scenes role, assisting with surgery coordination, managing referrals, marketing and supporting the Director and Practice Manager.We''re a small and close-knit team, and we''re looking for someone who is down-to-earth, easy to work with, and thrives in a collaborative environment. (Brownie points for a good sense of humor!)Key responsibilities include:Welcoming and discharging patients in a friendly and timely mannerManaging a busy telephone switchboard and triaging patients appropriatelyCoordinating complex appointments and managing doctors'' diariesBooking and confirming surgeries, preparing theatre quotes, and liaising with hospitalsBilling and receipting for consultations and inpatient/surgical proceduresManaging Medicare, DVA, Health Fund, WorkCover, and TAC claims (including Eclipse and EasyClaim)Following up outstanding accounts and supporting debt recoveryPreparing and running consulting clinics efficientlyTyping basic medical correspondence and maintaining patient recordsPersonal assistance support to the Director and Practice ManagerManaging office suppliesManaging admin rostering, and supporting clinical team with rostering.Coordinating CPD events and supporting referrer engagementKey Selection CriteriaPrevious experience in a senior medical administration role (specialist clinic and surgery bookings preferred)Minimum 3-4 years of senior medical administration experience is requiredProfessional attitude and presentation.Positive team player that is able to work autonomously.Exceptional telephone etiquette and customer service skills.Able to multitask with excellent attention to detail and accuracy.Strong time management skills and able to manage workload efficiently.Proficient computer skills including the full Microsoft Office Suite.Experience with VIP.net software would be an advantage.Knowledge of Medicare, DVA, Health Funds, TAC, Workcover billing systems.Experience liaising with hospitals and preparing surgical quotes and bookings.Must have legal working rights in AustraliaWhat We''re Looking ForWe''re seeking someone who not only meets the above criteria, but also brings a genuine, friendly, and team-oriented approach to their work.
