One BBC.Job PurposeTo provide comprehensive administrative and EA support to senior management of BBC Studios Productions Australia (BBCSPA) as well as general support to the wider core BBCSPA team, including development. The role will be responsible for a broad range of administrative tasks requiring flexibility and occasional evening emails and meetings, including handling and directing queries, maintenance of records, acting as the first point of contact for the team, coordination of projects and activities.Key Responsibilities & AccountabilitiesDuties for Executive TeamDiary management (General Manager and Creative Director, Director of Commercial and Business operations and Head of Unscripted)Assisting in daily admin, organisational and general support where required.Organising internal and external meetings, meeting rooms, including routine team WIP''s, and screenings, including agendas, setup, meet & greet guests, catering and coffees.Book and run admin support for evening board meetings, including agendas and minutesEnsure key production, TX and visitor dates are in Exec diaries.Manage financial reporting deadlines for DCBO liaising with Finance team.Domestic and international travel bookingsExpense claims and credit card recsFinalising presentation decks, copying, printing and general preparation for meetings and pitchesAssist in internal and external event or function planningSetup and maintenance of filing systems to ensure administrative efficiency to support the ExecsDisseminate key information to teams across respective business units as requiredDocusign coordinationAssisting in daily admin, couriers, organisational and general supportAd hoc food orders, coffee and lunch runs, tea makingEnsure management are aware of any external VIP clients and Network executives attending.Production And Development SupportAd hoc development, casting & production research. Where required create and update decksSupport setup and administration of writer''s roomsSupport production and development team with ad hoc expenses and travel arrangementsFinance support, including raising of POsWhere requested, attend shoots as required to support teamCoordinate team meetings and, as required, take minutes and manage action pointsLiaise with and source schedules, key dates including TX for diariesSupport production and liaise with UK for International deliverables as requiredManage centralised filing of production contact lists, schedules and other production informationManage production storageGeneral office admin support, organising couriersKnowledge, Skills And ExperienceProfessionalism, has excellent time management skills and can deal with all internal and external clients of the business.Used to prioritising work-loads, well-organised and an excellent communicator both verbally and in writing.Possess advanced computer skills and the ability to use Microsoft Office, including Word, Excel, PowerPoint and Outlook.Ability to work in a fun, dynamic environment and demonstrate initiative. They will be an enthusiastic team member with a can do attitude.Passionate about over delivering in their role and working in a creative company to organise and service each production and commercial output for that show.Admin support experience and enjoy a variety of tasks as part of their everyday role.
