OverviewDo you have a high attention to detail, excellent organisational skills and enjoy working both independently and in a small, dedicated team? Do you want to make a lasting contribution to the preservation of the state''s historical education records?As a member of the Storage and Operations team within the Records and Mail Services unit, our Records Management Officers are responsible for the organisation, maintenance, and retrieval of the Department of Education''s records. This includes:Supporting the department''s 3-year partnership with Public Record Office Victoria to transfer school records to the State ArchivesAssist in the appraisal and sentencing of physical records and classify these applying the appropriate RDA and retention class.Physical arrangement of records according to PROV requirements, including adhering to naming conventions and use of appropriate storage containers.Please note this role involves manual handling, including lifting boxes and manoeuvring trolleys to move and retrieve boxes of records from temporary storage locations to a designated processing location.This position requires full-time on-site presence, based at 2 Treasury Place, East MelbourneKey ResponsibilitiesDemonstrate a solid understanding of the Public Record Office Victoria (PROV) Retention and Disposal Authorities (RDAs) and Standards to support the preparation and transfer of permanent records to State ArchivesDemonstrate strong Microsoft Excel capabilities and attention to detail to prepare accurate Records Description Lists describing record series being transferred to PROV.Provide administration support on a range of project tasks including collection management.Quality workAssist in the development, review and implementation of procedures and guidelines to support the appraisal, preparation, and transfer of records series to PROV.Support quality assurance activities to ensure record series meet all the required PROV standards.Ability to demonstrate strong problem solving and identify and provide workable solutions.TeamworkCollaborative team member with excellent communication skills and a "can do" attitude.Ability and willingness to easily adapt to changing priorities in a fast-paced project-based environment.Ability to demonstrate respect and accountability in a diverse team environment.Attributes and Required CapabilitiesProven records management experience, particularly in processing and sentencing hardcopy records in a large organization.Strong knowledge and understanding of the Public Records Act 1973, PROV RDAs, and Standards, or the capacity to quickly gain this knowledge.Excellent organizational skills and attention to detail.Strong interpersonal skills with the ability to communicate effectively across different levels of the organization.Ability to work independently and collaboratively within a team environment.Integrity and discretion in handling sensitive information.Desirable Qualifications and ExperienceA relevant qualification in Information Management, Library Science, or a related field, or commensurate professional experience.Further InformationFor more details regarding this position please see attached position description.The department values diversity and inclusion in all forms gender, religion, ethnicity, LGBTIQ+, disability and neurodiversity.
