We''re looking for someone who shares that belief.We are seeking a professional, organised, and people focusedClient Services & Operations Assistant to work closely with our Client Services Manager. Together, you will help deliver the polished, consistent, and welcoming experience our clients expect, while ensuring the firm''s daily operations are supported with care and precision.The RoleThis role is more than administration it''s about contributing to the Heard McEwan Legal experience by supporting both our clients and our internal teams. You will play a key part of the front-of-house environment while also providing essential operational and administrative support across the firm.Key responsibilities include:Client engagement: Assist in handling client enquiries across phone, email, and walk-ins, resolving or delegating where appropriate.Secondary reception support: Provide front desk operation support by greeting clients with warmth and professionalism and assisting with arrivals.Secondary switchboard and phone management: Provide support in directing enquiries efficiently and managing call flow.Inbox and workflow management: Monitor shared inboxes and ensure timely, appropriate responses.Support daily operations: Assist the Client Service Manager and broader office environment, helping where needed across all internal departments.Administrative support: Assist with data entry, legal document preparation, appointment scheduling, and general administration tasks.Meeting room coordination: Help manage bookings and ensure meeting spaces are impeccably prepared to reflect our high standards.Mail and supplies: Receive and distribute daily mail, maintain stock levels for stationery, groceries, and office supplies.Financial and operational tasks: Administer banking requests and process invoices when required.Safety Committee participation: Contribute to maintaining a safe and well run workplace.Ad hoc support: Assist Professional Legal and Practice Management Support staff with administrative requests as needed.What You BringYou will thrive in this role if you are:Experienced in administration, reception, or client service - ideally within a professional services or legal environment.A minimum of 1-2 years experience in administration, reception, or client service roles is required.Impeccably presented with strong communication skills.Calm, composed, and confident when managing competing priorities.Proactive, solutions focused, and committed to continuous improvement.Highly organised with strong attention to detail.Comfortable navigating email platforms, booking systems, and internal workflows.Proficiency in Microsoft Office SuiteSomeone who genuinely enjoys supporting others and contributing to a positive team culture.Why Join Heard McEwan?We are a firm that values professionalism with a personal touch.
