You''ll be the go to for office operations, vendor and contractor management, vendor invoice management, office compliance, and employee facilities support, while helping deliver projects and continuous improvement across sites. If you thrive on ownership, stakeholder engagement, and making workplaces run smoothly, we''d love to meet youThis is a fully on-site (Sydney CBD), permanent part time (4 days per week) role.KEY RESPONSIBILITIES:1) Office Operations (Sydney CBD) Front-of-house: visitor sign-in, meeting room set-up/pack-down, VIP/special visitor support.Office services: mail in/out and mail logs, package acceptance, locker allocation, stationery/kitchen orders and refills, tracking office assets/inventory, general cleaning & office maintenanceAccess & security: issue and manage security/swipe passes; resolve access issues; liaise with building security/loading dock.Policy & compliance: keep office policies aligned to building safety standards; act as Fire Warden/First Aid Officer (training provided).Employee support: first point of contact for workplace/office queries (e.g., QR code reports for broken furniture/lighting/access issues).2) Facilities & Building Management (Multi-Site)Day-to-day liaison with building managers across state officesCoordinate directly with Commercial Integrated Services Providers, Leasing Agents and relevant on-site contractors for essential services maintenance, repairs and sanitation work ordersCollaborating with the Safety, Health & Environment (SHE) team to:Ensure sites are safe, compliant, and first aid kits and monthly/quarterly checks are completed by site repsOrganise contractor access and work permits (as needed across sites)Escalations: Manage any workplace services escalations directly with VDG, leasing agents, building management.3) Vendor & Contractor ManagementReceive/manage any onsite contractors - cleaners, security, handymen, maintenance providers, utilities, and multi-site facilities management partnersConduct regular supplier check-ins and performance service reviews;Request and compare quotes; support supplier onboarding and invoicing code extensions; keep supplier/contractor details up to date (Coupa/Cora etc).4) Procurement, Finance & SystemsProcess and reconcile workplace services invoices within budget (contractors, utilities, office inventory).Support workplace services budget planning and savings initiatives; maintain accurate service and financial reporting.Use and troubleshoot finance/supplier invoicing/reporting systemsWork with Finance/Procurement on coding, supplier unblocks, and system issues; maintain documentation and audit trails.5) People, Onboarding & Admin SupportCoordinate desks/access/equipment for onboarding/offboarding in partnership with IT and hiring managers.Provide administrative support to the office EA/line manager as required.Maintain office documentation, processes, and records; identify opportunities to streamline workflows and improve employee experience.6) Projects & Continuous ImprovementSupport facilities projects (office moves/restacks, minor works, renovations).Contribute to Workplace Services transformation and standardisation, driving process simplification, service consistency, and cost optimisation.Evaluate operations and propose improvements; support business cases and implementation plans.WHAT YOU NEED TO SUCCEED: SKILLS, EXPERIENCES & QUALIFICATIONS:Must havehaveExperience in facilities/workplace/office coordination in a corporate environment.Strong vendor management and stakeholder engagement skills.Proficiency with invoicing and basic budgeting; comfortable with tools such as Coupa/Cora/Planon (or similar).Highly organised, proactive, and service-oriented; able to juggle multiple tasks and sites.Solid written and verbal communication; confident dealing with landlords, suppliers, and senior visitors.Nice to havetohaveExposure to project budget planning and savings initiatives.HSE familiarity (e.g., compliance, risk, and safety basics).Experience supporting multi-site portfolios and supplier performance reviews.Intermediate Excel (reporting/analysis).Qualifications & RequirementsFirst Aid Officer and Fire Warden certifications (or willingness to obtain).WHAT YOU CAN EXPECT:A unique mix of global scale & start-up spirit8.3bn powerhouse with an agile, entrepreneurial mindset.
