OverviewThe Finance and Office Administrator plans, organises, directs, controls and coordinates the financial and accounting activities of the AusPac office by ensuring accurate bookkeeping, compliance with statutory requirements, and smooth day-to-day financial and administrative processes. The position involves a wide array of finance and administrative tasks and contributes to the effective running of the office operations and finances, including recording financial transactions in the accounting system, processing of payments, review and filing of supporting documents, liaising with service providers, as well as other office related administrative tasks.ResponsibilitiesFinancial Accounting and Bookkeeping: Oversee day-to-day financial operations, including recording transactions accurately and timely in the accounting system.Cash flow and receivables/payables: Manage cash-flow monitoring, bank balances, and bookkeeping, including accounts payables (vendors) and receivables (donors/customers).Documentation and coordination: Maintain a database with detailed records including obtaining and filing relevant supporting documents; work with the Global Finance Team in Berlin as needed.Tax and external accounting: Coordinate the preparation of annual filings, including tax returns and financial statements, in collaboration with external accountants; lead audits with support from the global finance team; support external accountants in fulfilling accounting and statutory requirements (filing tax returns, ACNC registration, preparation of financial statements).Donor reporting and project finance: Support project managers in the compilation of financial reports for donors; support project budgets, tracking finances, and staff allocations on projects to ensure proper financial management.Financial governance and process improvement: Promote continuous process improvement and ensure compliance with financial legislation and standards.AusPac operations: Coordinate payroll processing with external providers and HR in Berlin; manage relationships with accountants, lawyers, insurers, and other stakeholders; manage office supplies, equipment, procurement, and inventory; coordinate lease and benefits renewals; assist with logistics for travel and events; assist with HR onboarding and records; develop operational procedures; ensure health and safety compliance.Your profileCompleted studies in accounting and/or finance or related disciplineExperience with ERP systems and familiarity with ExcelFluency in EnglishVery accurate, structured and reliable; proven ability to work independently and under pressureTeam player with strong communication in an international, diverse environmentRight to work in Australia; national police clearance may be requiredMinimum of two years experience in a comparable positionExperience in not-for-profit/small business; experience accounting for grants from foundations, institutional donors and/or multilateral organisationsExperience with Deltek MaconomyOur offerA job with purpose.
