OverviewCompany: Treloar Civil and Quarries Pty Ltd and associated entities including Treloar Maintenance & Engineering Pty Ltd and Dig This Pty LtdPosition: Office ManagerEmployment Type: Full-time (flexible arrangements may be considered)Reports To: General ManagerThe Office Manager is a key operational role responsible for coordinating office administration, financial processes, and support services across the business. This position ensures efficient office systems, accurate accounts administration, compliant payroll processing, and smooth day-to-day business operations to support civil construction, quarrying, transport, and plant hire activities. The role works closely with management, supervisors, and external advisors to maintain organised systems, reliable reporting, and strong administrative support for operational teams.Key ResponsibilitiesOffice Operations & AdministrationManage daily office operations and administrative functionsOversee office systems, procedures, and document controlMaintain filing, compliance records, and company documentationCoordinate insurance policies including plant, vehicles, public liability, and workers compensationManage supplier accounts, service contracts, and office purchasingProvide administrative support to management and project teamsAccounts AdministrationManage accounts payable and accounts receivable processesCreate and process batch paymentsRaise invoices, progress claims, and statementsMonitor debtor balances and follow up outstanding paymentsAllocate payments and perform bank reconciliationsAssist with job cost allocation and project trackingMaintain accurate financial records for external accountantsPayroll & ComplianceProcess weekly payroll including timesheets, awards, EBAs, and site allowancesSuperannuation and PAYGMaintain employee records and onboarding documentationEnsure compliance with Fair Work, taxation, and superannuation obligationsPrepare and submit BAS, IAS, and other reporting as requiredOperational SupportAssist supervisors and managers with purchase orders and cost codingJob costing supportFuel and maintenance reportingSupport tender preparation with schedules, rates, and documentationProvide administrative insight to support operational decision-makingSystems & Process ImprovementMaintain accounting and payroll software (e.g. WIISE, Xero, Keypay or similar)Identify opportunities to improve administrative efficiency and accuracyImplement practical systems to streamline office workflowsSupport digital systems used between office and site teamsKey Skills & ExperienceExperience in an office management, accounts, or administration roleStrong knowledge of: accounts payable and receivable processesPayroll administrationOffice systems and proceduresHigh attention to detail and accuracyStrong organisational and time-management skillsAbility to work independently and manage competing prioritiesExperience in civil construction, transport, quarrying, or plant hire industriesQualification in business administration, bookkeeping, or accountingExperience with job costing or project-based systemsFamiliarity with civil, quarrying and transport industry awardsExperience supervising administrative staffPersonal AttributesProfessional and confidential approachClear communicator with office and site teamsPractical problem-solverStrong relationship builderProactive and self-motivatedCommitment to continuous improvementWork Health & SafetyFollow all company WHS policies and proceduresSupport and promote a strong workplace safety cultureWhy JoinLong-established Tasmanian family business operating since 1978Diverse operations across civil construction, quarrying, transport, and plant hireStable and respected company with strong industry reputationOpportunity to contribute to the ongoing growth of the businessAn attractive salary package will be negotiated based on experience and value to the company.Applications close Friday 6th March 2026.
