OverviewCancer Council Northern Territory Darwin NTProvide full administrative support to Chief Executive Officer, including administration and coordination for Cancer Council NTs corporate portfolio, sponsorships, projects and patient support services programs.Purpose: Provide a friendly and professional first point of contact for key stakeholders, patients and the public.Key responsibilitiesProvide backup administrative support to reception, including answering the phones, front office data entry, managing incoming and outgoing correspondence, undertaking banking and accurate cash handling processes, processing membership and data entry and including maintenance of CCNT Membership lists.Coordinate and implement corporate partnerships, sponsorships, projects and programs in collaboration with the CEO and provide day to day operational management of office workflow between divisions.Coordinate Accounts Payable and Accounts Receivable functions including weekly financial data entry, end of month reconciliation, and support for annual financial audits.Provide full administrative backup support to patient Support Services as required, including full backup for Ostomy, Transport to Treatment and support services programs under the direction of the CEO (or delegate).Provide operational and confidential administrative support to the CEO.Maintain effective communication between Darwin office and regional offices, assisting regional staff as required.Participate in the stock-take audit and coordinate CCNT yearly Financial Audit processes.Participate in nominated national Cancer Council Australia Committees when required and ensure dissemination of information.Provide administrative support for Ostomy services including Ostomy reconciliation and end of month processing.Keep oversight of corporate partnerships, sponsorships, projects and programs and ensure timely responses to stakeholder enquiries via phone or email.Work collaboratively with the team to ensure the successful delivery of all CCNT corporate partnerships, projects and programs.Ensure back-office processes support the organisations financial and administrative operations.Ensure all team members adhere to company policies and confidentiality requirements.Qualifications and eligibilityKnowledge and SkillsA confident self-starter who demonstrates initiative, a solution-orientated approach, and ability to learn new skills.High level of communication skills both verbal and written, along with the ability to work unsupervised and with excellent time management skills.Exceptional organizational skills, with attention to detail and the ability to prioritise work and perform daily tasks efficiently and within deadlines.Ability to work across multiple projects and programs at the same time.Advanced Microsoft Office skills in Word, Excel, PowerPoint, Outlook, with demonstrated experience in data collection, input and reporting using database applications.Intermediate skills in Xero or MYOB and ability to coordinate accounts receivable / accounts payable and provide financial data entry for income and expenditure on a weekly basis.Demonstrated experience in data collection, input and reporting using database applications.Sound stakeholder engagement and demonstrated experience in customer service and conflict resolution.Sound public engagement skills, with excellent verbal communication skills and demonstrated experience in customer service and conflict resolution.Must be eligible to work in Australia.NT Drivers License (Provisional License''s not accepted).Highly DesirableQualifications and or minimum 3 years experience as a Team Leader or similar.Experience working with social media platforms e.g., Facebook, Twitter etc.Experience working in graphic design applications e.g., Canva, In-Design etc. or minimum two years working in the field of marketing & branding.Experience in working with clients in a health care environmentExperience in working with volunteers.Personal AttributesHighly motivated, honest, mature person with a proactive work ethic.Highly developed interpersonal skills.High degree of creativity and flexibility in working across a broad range of issues within a team environment.Collaborative working style and a demonstrated ability to work independently.Demonstrated personal commitment to a healthy lifestyle.This role will provide you with challenges and accountability whilst working in a supportive and friendly environment.There may be evening & weekend work and there may be intrastate and interstate travel with this position.Employment with CCNT is subject to completion of a Criminal History Check and all staff must be eligible to hold an Ochre Card.
