We are seeking an experienced Office Administrator to join our team at Vac West Industrial in Geraldton, Western Australia. This part-time (30hrs per week, Monday to Friday), permanent role is essential for ensuring the smooth operation of our administrative functions. The successful candidate will play a key role in supporting our staff and enhancing the overall efficiency of our office environment. Responsibilities Manage daily office operations and ensure a welcoming environment for staff and visitors. Handle correspondence, including emails, phone calls, and postal mail. Reconcile timesheet data, in preparation for payroll processing each week. Assist in scheduling and managing rosters for team members using designated software. Assist in the efficient and accurate onboarding of new team members, including collating HR documents, qualifications, organising inductions and medicals, and maintaining records in the HR system. Coordinate office supplies and inventory management. Support the preparation of reports and presentations as required. Facilitate communication between departments and assist with project coordination. Manage company licence compliance tasks, including record-keeping and renewals, as guided by internal policies. Ensure compliance to company policies and procedures. Qualifications Proven experience as an office administrator or in a similar administrative role. Strong organisational and time-management skills. Experience with Microsoft Office Suite, Xero, ServiceM8, Employment Hero, and Mango software systems (desirable). Ability to work independently and as part of a team. Attention to detail and problem-solving skills. Proficiency in data entry and record-keeping with a strong focus on accuracy and compliance.
