The venues within ILA are the Bar, Gallery and Studio, with culinary led experiences hosted in the Aurora Restaurant, Lab and Terrace. Additionally, the ILA Hub is two levels of office space for creative enterprise. ILA supports artists through its Charitable Foundation. ABOUT THE ROLE The Production Lead is part of the ILA creative team and is integral in contributing to the design and scope of immersive art productions and live experiences. This role works closely with our technical and production team, helping turn ideas into reality, from early planning through to installation and event delivery. The role is responsible for coordinating logistics, development, and delivery of creative projects, working closely with creative, technical and production teams to ensure requirements and timelines are clearly defined and projects efficiently executed. Key responsibilities: Coordinating creative event logistics, timelines and scheduling Acting as a link between artists, creative, production and technical teams Supporting creative and technical production Managing artist liaison and production documentation Leading onsite installations and running of live events POSITION DETAILS Project Coordination: Manage the administrative and logistical aspects of immersive art projects and live installations, ensuring all creative, technical, and production elements align. Create event briefs, timelines and schedules for creative events, ensuring all information is accurately inputted and maintained in ILAs event scheduling system (Function Tracker) Cross-Department Communication: Act as the key liaison between creative, technical, and production teams facilitating clear communication, scheduling meetings, and maintaining documentation and workflows Production Management: Work with Manager, Venue and Technical Operations for all production requirements including staging, lighting, sound, rigging, and multimedia systems Event Advancement: Oversee all pre-production, on-site, and post-event processes including bump in/out schedules, technical briefs, supplier coordination, and artist or creative team requirements. Assisting with the development and organisation of artist contracts, worksheets, run sheets and relevant artist promotional materials. Coordinating artist liaison logistics and backstage set up for artists, including artist riders. Manage budgets, invoices, schedules, and production paperwork with precision and efficiency Health & Safety: Ensure all events and installations comply with occupational health and safety standards and venue regulations. Be handson during installation, rehearsals, and event operation, supporting the team with energy and professionalism. Build and maintain strong working relationships with artists, vendors, technicians, and creative collaborators. Frontofhouse and customer services duties including welcoming and directing visitors to creative events will be required from time. This role is full-time and will require out-of-hours work from time to time to work on creative events and productions on evenings and weekends, so a willingness to be flexible with work hours within the role is required. SKILLS & EXPERIENCE Required: Minimum 23 years experience in live events, immersive art, theatre, or creative production. Proven ability to manage multiple projects simultaneously in dynamic environments. Understanding of technical production, including sound, lighting, video, and staging. Exceptional communication, organisational, and administrative skills. Demonstrated ability to anticipate needs, solve problems, and adapt quickly. Strong computer literacy (MS Office / Teams / production software). Preferred: Experience working with immersive, interactive, or multimedia installations. Familiarity with ticketing systems and marketing workflows for live events. Knowledge of WHS, risk management, and compliance in event environments.
