You are comfortable doing routine, detail-heavy work to a high standard every day.You have a qualification in naturopathy, nutrition, or a related health science, and understand supplements, ingredients, and formulations at a practical level.You work well in a small team, communicate clearly, and build strong, genuine working relationships with both internal teams and external stakeholders.THE RESPONSIBILITIESBrand Relationship Manager (BRM) SupportExecute the administrative and operational workflows that support the Brand Relationship Manager, ensuring supplier-related tasks, requests, and processes are completed accurately and on time.Maintain clear coordination with the BRM, ensuring visibility of task status, progress, and completion across all supplier-related activities.Supplier Administration & Process ExecutionExecute defined administrative workflows for suppliers, including brand onboarding, product updates, sales promotions, sponsorships and events, contract and record management, and supplier requests.Ensure all steps are completed accurately and consistently in line with defined processes, without deviation or omission.Maintain supplier records, contracts, and account information across systems, ensuring all documentation is current, complete, and correctly filed.Identify inefficiencies in brand and product workflows and contribute to improving processes, systems, and documentation.Task Tracking & Follow-ThroughTrack all supplier-related tasks and requests, maintaining clear visibility of status, ownership, and deadlines.Follow up with suppliers and internal teams as required to ensure all items are completed, keeping the BRM informed of progress and any risks to timelines.Ensure no requests, updates, or issues are left unresolved or untracked.Product & Brand Data ManagementMaintain and update all product and brand data across the platform, ensuring completeness and accuracy across all required fields, including ingredients, dosage, pricing, imagery, and descriptions.Validate product information against supplier-provided source material (e.g. labels, documentation), identifying and correcting discrepancies before publication.Ensure all updates are implemented consistently across systems and reflect the most current approved supplier information.Monitor competitor platforms to identify relevant brands and products not currently listed, and flag opportunities for internal review.Monitor product reviews and respond with clear, factual, and balanced information aligned with platform standards.Escalate product issues or recurring feedback trends to the relevant internal stakeholders and BRM where relevant.Promotions & Campaign ExecutionExecute monthly brand promotions, ensuring submissions are processed accurately and delivered on time.Ensure all promotional data (product selection, pricing, timing) is correctly implemented across systems.Publish supplier events (e.g. webinars, seminars, symposiums) to the platform in line with established processes.Cross-Functional CoordinationCoordinate with Product, Finance, and Warehouse teams to resolve supplier-related issues, including pricing discrepancies, invoicing queries, stock or warehouse issues (including quarantine processes).Drive issues through to resolution, ensuring accurate information is obtained and applied across systems, and keeping the BRM informed where required.REQUIREMENTSMust haves:A qualification in Naturopathy, Nutrition, or a related health science (e.g. Bachelor of Health Science), with a working knowledge of supplements, ingredients, and the natural health industry.Experience working in an administrative, operations, product, brand, or data-focused role involving structured workflows and system-based task execution.Experience working across multiple internal systems and administrative processes, with responsibility for maintaining accurate records and completing updates correctly.Intermediate to advanced proficiency in Microsoft Office Suite.This is a permanent, full-time position and requires unrestricted and ongoing work rights in Australia.Nice to have:Experience in the complementary health, natural medicine, or wellness industry in Australia.Previous experience in an e-commerce, distribution, or product operations environment.About vital.lyvital.ly is the infrastructure behind sustainable clinical practice.
