Working hand-in-hand with the screen and broadcast industries, AFTRS is a global centre of excellence that delivers the highest level of screen and audio education, training and research across Australia.About the RoleUnder the general direction of the Head of Training, the Program Coordinator is responsible for ensuring a high standard of course support for training courses on campus, online and offsite. Working as part of a small team, the Program Coordinator supports the effective planning and delivery of training courses to ensure smooth and efficient operations. In close collaboration with relevant stakeholders, the role contributes to course planning by ensuring appropriate preparation and resource allocation. The Program Coordinator monitors and reports on key aspects of course delivery, including user experience, student engagement, SME performance, and budgets, and undertakes related course administration in accordance with established and consistent processes. The role also contributes to program delivery through the development of specialist practice areas, which may include simple learning resources such as information packs, PowerPoint presentations, or other eLearning materials.Key AccountabilitiesProgram Coordination: In partnership with the Short Courses team, provide high-level program support, including liaison with freelance lecturers and students/program participants, and oversee day-to-day administrative operation of the courses, attending sessions as required.LMS Administration: Upload, maintain, and manage materials in Learning Management System (LMS), including session outlines, learning resources and other components of online course deliveryResource Coordination: Contribute to identifying, booking, and coordinating appropriate resources for course delivery, including rooms, online class links and equipment, in line with both the Teaching & Learning Annual planner and ad-hoc course delivery requirements.Contracting: Prepare contracts for freelance lecturers, ensuring they are appropriately onboarded to AFTRS, informed of WHS requirements and understand expectations regarding deliverables where relevant.CRM Administration: Enter, maintain, and manage data in the CRM, including enrolments, cancellations, budgets and reporting.Student Enquiries: Assist with first point of contact queries from Short Courses students, responding to enquiries and referring matters as appropriate, and consulting with relevant staff to provide accurate and timely information.Program Oversight: Work closely with the Head of Training to update and monitor course curriculum, delivery schedules, and budgets.Continuous Improvement: Work with the Head of Training to identify opportunities for improvements or value-adding initiatives across courses and process, and coordinate or project manage specific initiatives as directed.Research & Analysis: Undertake first-level research and analysis to support and inform decision making, identify issues, and assist in the preparation of written reports as required.Technical Support: Provide basic technical support to your program area, including pre-set-up of hybrid and online classes, in-classroom equipment support, and post-production pathway assistance, escalating or arranging additional support where required.Cross-Team Collaboration: Collaborate with Program Resources, Faculty, Student Centre, IT, and Governance teams to develop effective workflows, ensuring processes are documented and implemented efficiently.Other Duties: There may be a requirement to undertake tasks outside the scope of the responsibilities listed to support the organisation.
