Job Description

Avondale University is seeking a Student Administration Services (SAS) Officer to join the SAS team on a full-time 12 month fixed-term contract (parental leave relief) until April 2027. Be challenged and imagine with us This exciting role will have you at the front lines of the Avondale student journey, from initial enquiry to admission right through to graduation. You will be responsible for providing courteous, efficient and professional customer service to staff, students and other relevant stakeholders. What will you do? Some of the main duties will include: Action the administrative processes with regard to student academic management. Process requests for transcripts, unit outlines, statements of attainment and testamurs. Processing and distribution of regular reports on information including but not limited to, student progression, intermissions and discontinuations, probation, course transfers and student demographics. Maintain student records in Avondales Student Management System and relevant filing systems. Maintain an operational knowledge of government legislation, policies and standards as it relates to student management, international students and progression. Process tasks associated with the organisation and administration of the Exam Centre. Process tasks associated with the organisation and production of academic aspects associated with Graduation. Provide expert customer service to students and staff in relation to their enquiries. Liaise with Course Convenors where relevant. Prepare relevant correspondence for students as required. About you To be successful in the Student Administration Services Officer role, you will be a dynamic and responsive team player committed to positively impacting students and the wider Avondale community. Essential criteria Completion of a minimum qualification at a certificate IV level with subsequent relevant work experience; or extensive relevant experience and specialist expertise; or an equivalent combination of relevant experience and/or education/training; Demonstrated interpersonal skills and communications, including a professional and confident telephone manner and effective liaison skills; High level of computer literacy, including ability to use databases, Microsoft Office suite of programs (i.e. Word, Excel, Outlook, etc.), and internet; or demonstrated ability to gain and apply such knowledge within a short timeframe; Demonstrated organisational skills, especially in a high-volume outcome-based service environment, including ability to monitor work processes and meet deadlines with capacity to work extended hours during peak periods; Demonstrated experience of effective teamwork and ability to work under minimal direct supervision; Demonstrated commitment to customer service standards and ability to liaise effectively staff and management as well as varying personalities and people situations; A high level of accuracy and attention to detail Ability to maintain confidentiality when dealing with personal information and information of a sensitive nature; Demonstrated ability to cooperate with work health and safety policies and procedures ensuring actions or omissions do not impact on the health and safety of others; Supportive of the mission, values, and ethos of Avondale. Desirable criteria An undergraduate degree; Experience in administration, preferably within the Higher Education and/or VET sector/s; Experience using student administration software/databases (Callista, Moodle) would be highly desirable.
