Primary objective The Team Administrator provides confidential, high-level administrative support to the Senior Director NT Property Management (NTPM) and the wider NTPM work unit. Context statement This role is responsible for ensuring the efficient coordination of priorities, projects and managing the timely and accurate flow of information in a dynamic, time-sensitive environment to support the team in delivering the departments strategic and operational objectives. Key duties and responsibilities 1. Provide comprehensive administrative support to the Senior Director and the NTPM team which may include: providing high level secretarial support including minute taking and logistical support to working groups and committees monitoring all communication channels in and out, including email and diary management, scheduling meetings, and travel arrangements maintaining appropriate administrative systems, registers, processes, databases, and record management ensuring effective and efficient workflows within the unit managing procurement functions including travel arrangements, purchasing and processing credit card transactions. 2. Provide first point of contact for the Senior Director as well as initiate follow-up action to ensure deadlines are met. 3. Develop and continuously improve systems and processes to ensure deliverable are completed within timelines and update documentation to monitor performance. 4. Liaise in a discreet and confidential manner with a wide range of people including but not limited to, all levels of staff within the agency, the Executive office, external stakeholders and the general public. 5. Undertake non-complex projects as required under the direction of the Senior Director NTPM. Selection criteriaEssential 1. Previous experience providing high level administrative support at the executive level, with a proven ability to work collaboratively as part of a team. 2. Demonstrated interpersonal skills, with an ability to build effective working relationships with stakeholders at all levels, and with a strong adherence to confidentiality when handling sensitive information. 3. Excellent written and verbal communication skills, with experience preparing meeting minutes, drafting high-quality documents, and producing accurate correspondence, reports, and documentation with strong attention to detail. 4. Demonstrated highlevel initiative and organisational skills, with the ability to anticipate priorities, manage concurrent and competing workloads, and deliver tasks flexibly and independently under pressure within required timeframes. 5. Sound knowledge of Microsoft Office 365 (Word, Excel, Outlook, Teams and PowerPoint) and records management systems. 6. Demonstrated work ethic and attitude which emulates DCDD values of commitment to service, innovation, ethical practice, accountability, impartiality and respect. Desirable 1. Experience using NT Governments records management system TRM (Content Manager).
