Phoenix Health Co is launching a new kind of GP-led health clinic at the Bruce Gordon Centre in Wollongong. At its core, Phoenix will provide high-quality general practice care. However, the broader centre has been designed to bring together medicine, movement, recovery and preventative health in one modern facility. Alongside the GP clinic, Phoenix will also include exercise physiology, physiotherapy, personal training, group fitness classes, an onsite gym and a recovery space including sauna and cold plunge facilities. We are now looking for an experienced Lead Medical Receptionist / Senior Medical Administrator to join us as one of the first key appointments in the business. This is an exciting opportunity for someone with strong GP practice or medical administration experience who wants to be involved in the launch of a new healthcare centre and help establish the systems, processes and patient experience from the ground up. About the role This is the lead medical administration role within Phoenix Health Co. You will be responsible for supporting the day-to-day operation of the GP clinic, while also helping coordinate the broader patient experience across our allied health, gym and recovery services. You will work closely with the directors, GPs, allied health team and wider support team to ensure the centre runs smoothly, professionally and efficiently from day one. This role would suit someone who is confident in a GP practice environment, understands medical administration, enjoys taking ownership of systems, and is excited by the opportunity to be part of a new model of healthcare. Key responsibilities Your role will include: Leading the front-of-house medical reception function Managing appointments, patient enquiries and patient flow Supporting the setup of administrative systems and processes prior to launch Managing patient management systems and maintaining accurate patient records Supporting Medicare, private billing and other billing processes Coordinating communication between patients, GPs, allied health clinicians and support staff Helping create a warm, professional and high-quality patient experience Supporting doctors and clinicians with day-to-day administrative requirements Assisting with recalls, results management and follow-up processes Helping maintain clinic policies, procedures and operational standards Supporting bookings and coordination across GP, allied health, gym and recovery services Assisting with basic patient preparation, observations and functional assessment workflows where appropriate Supporting the use of selected health and medical technology within the centre Clinical support component As Phoenix will combine general practice, preventative health, movement and recovery services, there may also be opportunities to support basic patient preparation and assessment workflows. This may include assisting with basic patient observations, functional assessments and the use of selected health and medical technology within the centre, where appropriate. Previous experience assisting doctors, supporting clinical workflows, or working as an AIN, EN or similar would be highly regarded, but is not essential. This role would suit someone who enjoys both the administrative and patient-facing side of healthcare, and has an interest in preventative health, movement and modern healthcare delivery. About you We are looking for someone who has: Strong experience in a GP practice or similar medical setting Excellent knowledge of medical reception and administration processes Experience with patient management systems Confidence with Medicare, private billing and general billing workflows Strong communication and patient service skills A calm, organised and professional approach The ability to take initiative and help build new systems Strong attention to detail The confidence to work in a new business and contribute ideas An interest in preventative health, movement, wellness and modern healthcare delivery Experience in a senior receptionist, practice coordinator, medical administration lead or similar role would be highly valued.
