About the role As the Facilities Coordinator, you will be responsible for completing day-to-day facilities activities and actively maintaining the Canberra office premises with a strong focus on achieving a high level of customer satisfaction with internal and external stakeholders. This role requires full-time, onsite presence, 5 days per week during core office hours (8:30am4:30pm). Location Canberra, ACT In this role you will: Mail, courier and office operations Manage daily mail and courier services nationally, support reception duties, assist staff with office equipment, and maintain stock and amenities. Procurement and contract support Contribute to procurement tender processes, contract and agreement reviews, invoice coding, and supplier management including stationery services to ensure value for money. Facilities, maintenance and security Coordinate repairs, maintenance, cleaning, furniture moves and refurbishments; maintain security systems, access pass registers and conduct regular audits. Records and information management Maintain electronic and physical records, manage archiving and retrieval, oversee retention and destruction processes, and reconcile storage provider invoices. Sustainability, WHSE and compliance Promote sustainable office practices, support monitoring of the Sustainability Action Plan, oversee WHSE procedures, conduct workplace checks, inductions and emergency warden duties. Systems, parking and project coordination Maintain building databases, manage parking arrangements and ballots, support facilities-related projects and policy reviews, and coordinate office events and ad-hoc tasks. Manage invoice coding and submission for authorisation, verifying all charges against agreed contractual terms.
