We are now looking for an experienced, capable and people-focused Senior Administrator / Practice Manager to join us in a hands-on role that combines front desk leadership, administration, systems, and day-to-day clinic coordination. This role is ideal for someone who enjoys being at the centre of a busy, professional clinic environment and takes pride in creating structure, solving problems, and helping both clients and team members have a great experience. The role will begin with a strong on-desk component, leading from the front and helping ensure the clinic runs smoothly each day. Over time, there is scope for the role to grow into broader operational and management responsibilities as the practice continues to grow. About the role You will play an important part in the day-to-day running of the clinic, helping manage the front desk, support the team, improve systems and procedures, and provide practical operational support to the owners. This is primarily a clinic-based role. While some limited off-desk or at-home administration work may be possible once established, most of the role will be based in the clinic. Hours are expected to be largely within school hours, making this an attractive opportunity for an experienced administrator seeking a meaningful part-time role with responsibility and future growth potential. Key responsibilities Lead and support the front desk function to ensure excellent client service Manage appointments, enquiries, scheduling flow and day-to-day administration Help oversee the smooth running of the clinic each day Support team coordination and assist with day-to-day operational issues Develop, document and maintain systems and procedures Assist the owners with operational follow-through, reporting and organisation Support bookkeeping and finance administration tasks Assist with selected marketing and communication activities where required Look for ways to improve efficiency, organisation and client experience About you You are organised, warm, reliable and proactive. You are comfortable being the go-to person in a busy environment and enjoy balancing practical administration with higher-level coordination and problem solving. You will ideally bring: Strong administration experience Experience in reception, office coordination, practice administration or similar Excellent communication and interpersonal skills Strong Microsoft Office skills, especially Outlook, Word and Excel Confidence managing competing priorities in a fast-paced environment Strong attention to detail and follow-through Initiative, sound judgement and a calm manner Highly regarded: Experience in allied health, healthcare, or a related service-based business Experience supervising staff or coordinating people Experience creating or improving systems and procedures Bookkeeping or finance administration experience Marketing coordination experience Why join us?
