Operations Logistics & Freight Coordination Liaise with freight forwarders and transport companies to coordinate safe, efficient, and timely delivery of container shipments to site. Monitor delivery schedules and proactively communicate any risks or delays to management. Inventory Management Oversee onsite inventory levels and maintain a clean, organised warehouse and sample area. Notify management of low stock levels, slowmoving items, or any inventory concerns. Manage stock rotation, quality checks, and maintain bestpractice storage standards. ERP System SPS (Stone Profits Systems) Manage accurate stock movements within the SPS ERP system. Record all inbound/outbound inventory transactions correctly and promptly. Manage Customer invoicing Assist in Collections Management Site Safety & Compliance Ensure all warehouse and site activities comply with WHS requirements and company policies. Conduct regular safety checks and report hazards or noncompliance issues immediately. Maintain safe unloading and handling practices for stone materials and container deliveries. Support the implementation of safety procedures, inductions, and emergency protocols. Vadara Information Packs Prepare and assemble information packs for customers, partners, and visitors. Office Management Order Processing Process customer orders accurately and in a timely manner. Verify stock availability and ensure orders meet internal workflow requirements. Administrative Support Provide administrative support to the QLD State Manager and National Sales Manager. Assist with scheduling, documentation, meeting coordination, and internal communication. Partner Liaison Liaise with Vadara partners regarding promotions, partnership activities, and facility invitations. Send formal invitations to the Stone Gallery for presentations, tours, and partner events. Front-of-House / Facility Representation Act as the face of Vadara for all visitors, partners, and customers entering the QLD facility. Maintain a welcoming, professional, and brandaligned environment. Customer Service Customer Enquiries Manage incoming online and phone enquiries regarding the Vadara range, product availability, and services. Provide clear, accurate information and ensure exceptional customer service. Stone Gallery Visitor Experience Guide visitors through the Vadara Stone Gallery, offering a highquality, informative, and engaging experience. Present product features confidently and highlight Vadaras competitive advantages. Skills & Experience Required Experience in operations, administration, logistics, or similar role (preferred). Strong customer service and communication skills. Familiarity with ERP and CRM systems (experience with SPS Stone Profits Systems and ZOHO CRM is an advantage). Ability to multitask, prioritise, and manage time efficiently. High attention to detail and accuracy. Confidence when interacting with customers, trade partners, and internal staff. Ability to work autonomously and take initiative.
