Who we are The Protocol and International Visits Branch is responsible for administering the state occasions and official visits program in a manner which enhances Australias international relationships, the image of Australia and the Australian Government. The principal activity of the branch is to manage, coordinate and deliver complex arrangements for a range of events, ceremonial occasions and visits. The branch collaborates with the Office of the Official Secretary to the Governor-General, Prime Minister''s Office, Ministers'' offices, diplomatic representatives, other Commonwealth departments and state and territory governments. What you will do All roles are based in Canberra where you will work in a team responsible for the branchs principal activities for PM&C. Responsibilities of all roles include: Representing the Department at high level meetings, building strong trust and respect to undertake liaison and negotiation with a range of stakeholders Tailoring advice and recommendations to external stakeholders, presenting with clarity and depth that is appropriate, while maintaining independent relationships Providing a range of administrative support relating to the delivery of visits and events, including database management and official reporting Supervising, mentoring, developing and training staff in specific project work related to the delivery of visits and events Drafting and reviewing official documentation including briefs and programs for a range of visits and events, and providing associated advice Preparing responses to complex briefs and correspondence including parliamentary questions on notice, FOI requests, ministerial briefs and general correspondence of a sensitive nature Participating, and on occasion leading, the implementation of policies, procedures and systems to improve service delivery. In addition to the above, specific roles will be responsible for the following: Senior Protocol Officer Leading a team to deliver all arrangements related to Guest of Government visits to Australia, Prime Ministers overseas visits, national and official events including meetings, hospitality, ceremonial occasions, state funeral and memorial services, and virtual meetings between the Prime Minister and international leaders Establishing a strong understanding of Commonwealth Protocol practices and standards. Senior Planning Officer Leading a team responsible for coordinating the arrangements in support of Prime Minister''s official program, including the provision of official gifts, Commonwealth flag loan program, and other protocol functions Coordination and prioritisation of branch improvement projects Establishing a strong understanding of Commonwealth Protocol practices and standards. Senior Business Officer Leading a team responsible for delivering all corporate and administrative support functions to the Branch including financial, procurement, recruitment and administrative support to the Leadership team Coordinating all corporate reporting requirements including parliamentary reporting, briefings for Senate Estimates, responses to Questions on Notice and Freedom of Information requests Managing, monitoring and reporting on the Branch budget in consultation with Senior Executives Developing strong relationships across enabling areas of the Department who support the work of the Branch. At PM&C to be eligible for this position you should be an Australian Citizen by thecompletion of the recruitment process, except under exceptional circumstances. The successful candidate must be able to obtain and maintain a security clearance, or hold a current security clearance of an appropriate level. The successful candidate will be assessed through our pre-employment screening checks, such as an Australian Criminal History Check, and will normally be subject to a six-month probation period if new to the APS or has not yet completed their probation period elsewhere in the APS.
