About the Role - St. Pauls Foundation is seeking a dynamic, service-oriented administrative professional with a passion for building corporate relationships to support our Corporate Partnerships Team. This role provides a unique opportunity to further your career in fundraising, specifically within the health care sector. You will leverage your strong interpersonal skills, attention to detail, and collaborative approach to provide high-level administrative support to our fast-paced team. Reporting to the Manager of Corporate Partnerships, you will act as an ambassador for the Foundation, fostering positive relationships with corporate partners, donors, and volunteers. Responsibilities Provide administrative support for the Corporate Partnerships team by preparing confidential correspondence, donor solicitation materials, partnership proposals, department planning and tracking documents, and meeting minutes. Support the planning and execution of corporate partner events, meetings, and tours, ensuring smooth logistics, including venue booking, catering, and relevant document preparation. Assist with scheduling and organizing donor and partner meetings, ensuring all details (venue, catering, and materials) are efficiently arranged to enhance partnership engagement. Manage corporate partner calendars, assist with scheduling, and facilitate effective communications between internal teams and external partners. Process and acknowledge donations from corporate partners, including follow-up calls to address any returned mail or invalid addresses. Input and maintain accurate data in Raisers Edge, ensuring up-to-date donor and partner information is tracked and managed according to established policies and procedures. Collaborate with the Database team, Donor Relations Stewardship team, and other cross-functional teams to pull and analyze donor lists as needed to support corporate partnership initiatives. Track and process corporate team expenses in line with Foundation policies. Participate in regular rotation for St. Pauls Foundation reception coverage. Other duties as assigned to support the Corporate Partnerships team and organizational goals. Qualifications Bachelors degree or equivalent education. Proven experience as an administrative assistant, preferably in a fundraising or corporate partnership environment, or a similar organization. Highly effective interpersonal and communication skills, with the ability to tailor messaging to diverse corporate stakeholders. Strong initiative, sound judgment, and resourcefulness, with the ability to make thoughtful decisions. High degree of professionalism, diplomacy, discretion, and a service-oriented attitude. Ability to work collaboratively across teams to achieve shared goals. Exceptional organizational and time management skills, with strong attention to detail and the ability to prioritize in a fast-paced environment. Proficient in Microsoft Office programs; experience with Raisers Edge or a similar CRM is a plus. Available to work occasional weekends and evenings as required for corporate events or meetings. Previous experience in a complex, multifaceted organization, particularly in public health care or corporate partnership management, is an asset.
