General Administrative Assistant A Day in the Life of a General Administrative Assistant at RocMar:Serve as the first point of contact for RocMar Engineering, providing professional reception and administrative support to the Office Manager, management, and staff.Answer and direct incoming calls, take messages, and respond to internal and external inquiries.Acknowledge new assignments and set up new projects for the appropriate division.Maintain accurate and up-to-date project documentation across all departments.Provide exceptional customer service to clients by addressing inquiries and concerns regarding ongoing projects.Manage email correspondence, ensuring timely distribution of documents and compliance with internal protocols.Support the Senior Forensics Team by maintaining project spreadsheets and records, obtaining Fire Department Authorization Forms and Incident Reports.Oversee forensic evidence storage inventory, documentation, and invoicing communication.Organize project files, upload photos, and maintain internal documentation systems.Review and enter third-party lab fees and vendor invoices into BQE software.Assist the engineering team with permit-related expenses and documentation in BQE.Receive and distribute incoming mail and packages; prepare outgoing courier shipments.Follow up on outstanding accounts receivable, provide clients with fee breakdowns, and maintain detailed records.Assist the Office Manager with office supply inventory, equipment maintenance, and other general office tasks.Perform additional administrative tasks and special projects as required.What You Bring to the RocMar Team:Post-secondary education or Bachelor’s degree preferred.Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).Canadian work experience is required.At least 2 years of relevant administrative experience in a professional office setting.Experience in the restoration industry an asset.
