With recent leadership changes and expansion, the company is looking for a dedicated Team Coordinator to support its growing DDIT function in Canada. As the Administrative Assistant you will provide administrative support to the Director and Heads of sub-teams within the DDIT function. You will play a key role in managing day-to-day operations and ensuring that leadership is well-prepared for meetings and travel. Manage scheduling for Directors and Heads, ensuring calendars are efficiently coordinated. Schedule meetings and coordinate logistics, including room bookings, refreshments, and document preparation. Prepare meeting agendas, take informal minutes, and follow up on key action items. Coordinate global travel arrangements, including flights, accommodations, visas, and immunizations. Handle expense reporting using Concur (transitioning to WorkDay). Organize and maintain documentation, trackers, databases, and SharePoint sites. Support budget preparation, forecasting, and financial management processes. Liaise with Public Affairs & Communications regarding functional communications. Provide backup support to other team coordinators as needed. What you bring to the job You are someone who is team-oriented, quick learner, and proactive in anticipating needs. You also come with: Prior experience as an Executive Assistant or Administrative Assistant in a fast-paced environment. Strong communication, problem-solving, and organizational skills. Familiarity with Microsoft Office (Excel, PowerPoint, Word, Outlook); SharePoint experience is an asset but can be learned. Ability to adapt to different personalities, shifting priorities, and multiple time zones. Industry experience preferred. Bilingualism in French is an asset.
