CPA provides resources, education, ideas and advocacy to enable our professional community to better serve Canadians.What Were Looking For:A detail oriented administrative, project manager or operations professional with 4-6 years experience working in a -not for profit environment within Canada. This role will be for a 10-month term contract, covering a maternity leave. The successful candidate must be located within the Ottawa area.The role is part of an energetic team committed to:Overseeing CPAs Governance and Administration functions and will help guide the CPAs adherence to all aspects of its governanceThe overall planning, preparation of meetings, participation in setting agendas, creation and collation of materials, taking of minutes and ensuring corporate records are tracked, updated, and filed in line with applicable legislation and governing documents.Managing general administration, including that related to the office/workspace, IT ensuring that all Corporate Services within the organization are running smoothly.What Youll Be Doing:Board of DirectorsDraft and create materials for the annual Board/Board Committee calendar and work plansManage the preparation and timely dissemination of the agenda and background materialsResponsible for the timely production of accurate, effective, and minutes for the Board and its CommitteesManage the organizations Board management software and maintain up-to-date information withinFacilitate the process for the Director nominations, elections and orientation processOversee the Boards annual self-evaluation process and procedureCoordinate Director travel expense claimsPrepare annual Certificates of Appreciation and gifts for retiring President and/or DirectorsGovernanceWork with the CCSO and governance experts to ensure day-to-day functions meet the requirements of Corporations Canada and organizational governing documents.Maintain all required corporate filings under the Not-for-Profit Corporations ActFile required annual returns, Director change forms and any other matters for CPA and PFC with applicable authoritiesRegularly review governance processes including analyzing existing processes, recommending and implementing changes, documenting new processes and procedures to support compliance, continuous improvement and innovative best practice in governance.Plan and implement the Annual General Meeting and any Special Meetings of the Members, including arranging meeting logistics, the preparation of materials, package distribution, etc.Maintain and update the system of internal documents governing the activities of CPA, its Components and their co-operationProduce accurate and timely minutes for stakeholder meetings, where applicableMaintain member/distribution lists and regular reports for Branches, Divisions, Assemblies and other stakeholdersProvide administrative and operational support to the CEO and President as requiredAdministrationOversee the administration of the office and any office/workspace services functions (including the lease, parking pass, storage, maintenance, equipment, vendors etc.)Manage the Occupational Health & Safety and Social Committees; including others as developedImplement tasks related to office and/or workspace managementServe as contact person for employees and vendors regarding office and/or workspace operationsTrack staff requests pertaining to office and/or workspaceLiaise with building property manager regarding tenant-landlord issuesWork with the CCSO in maintaining current professional insurance policies and act as point person for insurance certificate requests from staff, vendors and clientsOversee the function of facilities management, including all related aspects necessary for effective operations, including guiding and implementing office, hybrid, work-from-home arrangementsDevelop, document, implement and maintain operating procedures and enforce their complianceInformation Technology (IT) Implement the IT infrastructure under the guidance of the CCSO and any applicable vendorsAdminister IT related issues including but not limited to IT security, IT purchases and replacement of outdated equipment, safeguarding of data, etc.Administer maintenance requirements and service contracts; monitor equipment inventories; evaluate new equipment and techniquesAdminister the organizations cybersecurity and privacy structures and processesMaintains and enforces the sharing of information and retention of corporate knowledgeBeyond The Salary:For regular full-time positions, the Canadian Physiotherapy Association offers a competitive salary and comprehensive benefits package including:Hybrid working EnvironmentGenerous personal time allowancesFlexible, collaborative environment with dedicated and supportive colleaguesAccess to learning & development - opportunities to take courses and expand your skill setSocial clubOccasional Domestic Travel 2-3 times per year
