Position:BIA Coordinator (Operations & Administration)BACKGROUND:The MarkeTo District Business Improvement Area (BIA) is an association of the businesses along Dufferin Street between Lawrence Avenue West and Wingold Avenue.The BIA is seeking an enthusiastic and skilled candidate for the position of BIA Coordinator. Through this opportunity, the successful candidate can build a broad transferrable skill set and gain hands-on experience supporting local businesses and the community.Reporting to the Board of Management, the BIA Coordinator will make use of his/her expertise and knowledge to assist the Board in fulfilling the BIAs goals. The individual must be a self-starter and possess strong organizational skills to ensure that projects and activities are completed on time. The Board is looking for a personable, energetic, and organized person who is comfortable working with a team of local business owners to bring their ideas to life and to assist the Board in fulfilling the BIAs goals and to facilitate positive stakeholder outcomes.DUTIES & ACCOUNTABILITIESExecute all administrative functions and daily operations of the BIA.Assist in the coordination of joint partnerships between the BIA, the City of Toronto, and other stakeholders.Monitor and maintain seasonal streetscape, public works and related activities.Actively support work of the Board, its committees and working groups as requested.Assist the Chair in performing his duties.Organize and prepare Annual General Meeting of the Membership.Schedule and facilitate BIA committee and working group meetings.Prepare agendas, minutes and notes for Annual General Meeting, committee meetings, and working group meetings.Monitor incoming and outgoing office communications, including email, phone calls and mail.Draft business correspondence, complete forms, permits, and prepare communications materials or business documents.Assist with the recruitment and on-boarding of new staff and seasonal hires.Conduct planning activities for BIA members or public events as requested.Perform small bookkeeping of BIA records via QuickBooks; administer accounts payable and receivable and maintain financial records.REQUIREMENTS:Education:University/Post-secondary Education PreferredWork location:On-site at 2919 Dufferin Street, North York, Ontario, M6B 2S7Enrolled in or completed a college diploma or university degree in business, marketing, communications, event management or a related field.Excellent verbal and written communication skills.Strong organizational, planning, and administrative skills.Proficiency in MS Office software (Word, Excel, PowerPoint, etc.).Basic bookkeeping and accounting skills (previous experience with accounting software strongly preferred).Event management experience.Able to arrange virtual meetings (preferably in Webex, Zoom and MS Teams).Experience using social media in a professional context (Instagram, Facebook, Twitter).Knowledge or experience of municipal government structure and operations.Flexible, self-motivated, and eager to lead and complete a wide variety of tasks.The BIA Coordinator will, in addition to the duties outlined above, be responsible for administering the BIAs annual events, researching alternative association funding opportunities, assisting BIA members as may be required (fielding enquiries etc.), and liaising with City staff where necessary.APPICATION INSTRUCTIONS:Please email your rsum thank all candidates in advance for their interest in this position.
