Were looking for an exceptionally organized, process-driven Recruitment Operations Manager to join our executive search and digital recruitment agency. This role is perfect for a proactive project manager with a passion for streamlining operations, improving internal systems, and keeping everything (and everyone) on track.As the backbone of our growing business, youll manage the day-to-day operations, support the execution of key growth initiatives, oversee marketing coordination, and ensure the team runs efficiently and effectively. Youll work directly with the Founder helping to shape how we scale and operate.Key Responsibilities:Operations ManagementManage daily business operations, ensuring smooth workflows across recruiting, finance, and client servicesEvaluate and improve internal systems, processes, and tools to drive operational efficiencyIdentify opportunities for automation and oversee implementation of new software or platformsManage relationships with vendors and technology partners, including negotiating contracts and service agreementsProvide basic IT support and troubleshoot hardware/software issues as neededMaintain accurate employee, contractor, and client agreements and records, including financial documentationProject & Process ManagementLead internal projects and ensure successful planning, coordination, and executionManage the applicant tracking software and suite of tools (Zoho Recruit, CRM, Campaigns) to ensure we are using all to their full potentialOwn project timelines and deliverables, monitor progress, and align team members and accountabilityCreate and manage internal documentation, templates, and knowledge-sharing systems to support new hiresSchedule and coordinate team meetings, trainings, and planning sessionsSupport budget tracking, commission calculations, and financial processesMarketing & Communications SupportManage website updates and email marketing campaigns using Squarespace and Zoho (Recruit, CRM, Campaigns)Manage marketing-related tasks and projects to support our content marketing campaignsWork closely with the Founder & CEO to continually improve our internal communications, company values, and team-first cultureWho You AreHighly organized and detail-orientedA confident project manager keeping teams aligned and on taskExperienced with operations, creating new processes and software systems, and project managementpreferably in a recruitment, professional services, or startup environmentAI savvy, resourceful, and always thinking about how to automate and improve our systems using the latest emerging techA collaborative team player who communicates clearly and can juggle multiple priorities with grace
