*Contract until October 2026*Title: Transfer Administration RepresentativeJOB STATEMENTReporting to the Manager of the Transfers team and working in a fast-paced environment. The Administrative Representative will be responsible for the seamless processing of transfers on a daily basis. This highly motivated and energetic candidate, must have a keen eye for detail and a penchant for accuracy. The candidate will be responsible for analyzing, researching and taking the initiative for resolving issues in a proactive manner.RESPONSIBILITIES:Ensuring account transfers are initiated, tracked and completed based on defined Service Level Agreements SLAInitiating new manual or ATON transfers in and transfers outProviding administrative support through Dataphile order entryProviding coverage as required during absence and during peak seasonsFollowing up on “Delay In Processing” & keeping Advisors informed of the status of their transfersEnsuring timely completion of the imaging of documentsDaily review of various reports/systems when following up on transfersAdhering to and, oversee shared email inboxes in a timely mannerMaintaining the procedures manual and continually reviewing the processes to find opportunities for ongoing improvementsManaging the distribution of email and fax requests to various WFM/WSI Operational teamsDocument verificationSending DCA requests to various Fund CompaniesMaintaining the Dealer Authorization Signatory listHandling special projects or other assignments as assignedQUALIFICATIONS:1 – 2 years similar experience within the investment industry (Preferred)Strong customer focus, service orientation, professional acumen and strong attention to detailKnowledge of customer relationship management toolStrong knowledge of Microsoft Office (Outlook, Excel & Word)Excellent written/verbal communication, organizational & listening skillsKnowledge of Registered Products, ATON, CDS, Dataphile and FundServ, an assetKnowledge of Transfers, Mutual Funds, GIC’s etc.Dedicated team player with the ability to take the initiative and be independentBilingual verbal and written communication skills (English and French) are requiredCOMPENSATION:Commensurate with experienceIf you are interested in applying for this position, please forward a cover letter and resume in confidence to is committed to accessibility in employment and to ensuring equal access to employment opportunities for candidates, including persons with disabilities.
