Service Dispatcher Join our dynamic HVAC team, where our mission is to deliver exceptional service to our customers. As a Service Dispatch Specialist, you''ll report to the Dispatch Operations Manager, and play a critical role in keeping our operations running smoothly and ensuring that every customer interaction reflects our commitment to excellence. As the Service Dispatcher, youll manage end-to-end process, from order entry to equipment ordering, scheduling, installations, and final paperwork completion. Manage email, service calls, and schedule changes. Address and resolve service dispatch-related calls and emails, escalating issues when necessary. Assign same-day installation and service requests and installations efficiently. Collaborate with technicians, experts, and customers to ensure smooth operations. Handle escalations, callback requests, and service updates. Audit account notes, ensure all schedules and equipment orders are accurate for the next day. Service Responsibilities: Equip service technicians with full-service history and relevant details Upload documents, manage damage claims, and follow up on post-inspections Complete dispatch/ service-related calls Installations Responsibilities: Coordinate installations 72 hours ahead, ensuring technician availability and equipment availability Ensure all installations are planned thoroughly and communicate for smooth installations A proactive approach to problem-solving and customer service. Experience with scheduling, dispatch, or customer service (preferred but not required). Microsoft Office Skills: Advanced knowledge of Microsoft Office tools, particularly Excel, Word, and Outlook, for reporting, documentation, and communication Data Entry & Management: Accurate and timely data entry skills, with an eye for detail in maintaining logs, schedules, and customer information.
