Job title: Office & Marketing CoordinatorLocation: Ville St-Laurent (Griffith Street)Duration: 6 months ContractWhat will your typical day look like?As an Office & Marketing Coordinator at Smart Factory, you will:Develop an internal and external marketing strategyInternal reach-out campaigns. Identifying people to connect with and how to reach them.Communications via newsletter and LinkedInNewsletters, reach-outs and distribution listsContent design using PowerPointMarketing video creation and coordination.Press release and other official communication in collaboration with the internal marketing team.In partnership with our stakeholders, you will schedule and plan visits and events with clients (e.g., ordering catering and communicating key information to all stakeholders involved)Coordinate and set up for events on the day of (e.g., greet guests, prepare coffee, lay out food, ensure furniture is presentable)Manage vendors and handle all payments to these vendors.Draft internal presentation content using PowerPointEnough about us, lets talk about youYou are someone who possesses:Marketing and Communication Skills: The office coordinator should have marketing skills. This includes setting up email campaigns, drafting content for newsletters, and finding creative ways to keep the company in the news cycle.Presentation and Documentation Skills: The candidate should prepare presentations and pull relevant data proficiently. They should also be capable of documenting administrative processes for transparency and efficiency. This requires an intermediate level proficiency in Microsoft PowerPoint and Excel.Event Planning and Coordination skills: The candidate should have experience in event planning and coordination. This includes tasks such as visit coordination, ordering catering, setting up on the day of the event, and ensuring the space is presentable. The ability to make clients feel valued and important during their visit is also crucial.Administrative Skills and Experience: The office coordinator should have proven experience in managing administrative tasks.Aesthetic and Space Management: The office coordinator should have an eye for aesthetics to improve and upkeep the decor of the space. This also extends to managing the cleaning and standard maintenance vendors to ensure the workspace remains clean and presentable.
